Position Summary:
This position is responsible for managing the donor database, ensuring data accuracy and integrity, and executing donor stewardship efforts that support fundraising, alumni engagement, and capital campaign goals.
This role also provides essential administrative and operational support to the Development team, including calendar management, meeting coordination, preparation of materials for donor engagement, and follow-up on key activities. The Development Coordinator serves as the operational backbone of the team, ensuring that day-to-day functions run smoothly and that donor engagement efforts are supported with accuracy, organization, and consistency.

Scope:
This position reports to the Director of Development and works closely with both the Director of Development and the Director of Giving and Alumni, who provides day-to-day direction on donor data management, stewardship processes, and pipeline-related activities.
This role requires exceptional attention to detail, strong organizational skills, and the ability to manage multiple systems and priorities with accuracy, consistency, and persistence. The ideal candidate will demonstrate sound discernment with the ability to treat sensitive, personal information with confidentiality and be coachable, with a willingness to receive feedback and continuously improve.
This role is accountable for the accuracy, completeness, and reliability of all donor data and records, while also ensuring effective coordination and follow-through across Development activities.
Position ResponsibilitiesDatabase Management & Data Integrity
• Manage and maintain donor database, currently Raiser's Edge, ensuring accuracy and completeness
• Enter and process all gifts, pledges, and donor information in a timely manner
• Reconcile donor records with Finance Department regularly
• Maintain organized and up-to-date donor records and documentation
• Support data imports, migrations, and system updates as neededReporting & Data Analysis
• Generate reports on donor activity, giving trends, and campaign performance
• Analyze data to identify opportunities for increased engagement and giving
• Provide data insights to support strategic decision-making by Development leadership
• Coordinate and maintain a regular reporting schedule in alignment with Development leadership to ensure timely, consistent, and actionable insights
Donor Stewardship & Communications
• Execute donor acknowledgment processes, ensuring timely, accurate, and personalized communication
• Coordinate and implement stewardship activities, including thank you letters, recognition, and donor touchpoints
• Support consistent and meaningful communication that reinforces donor relationships and engagement
• Ensure timely preparation and distribution of year-end tax receipt letter
Administrative Support & Calendar Management
• Manage calendars for Development leadership, including scheduling donor meetings and internal meetings
• Coordinate meetings, including logistics, agendas, and preparation of materials
• Take notes during meetings as needed and ensure timely follow-up on action items
• Assist in preparing donor lists and preparing materials for small group events and donor gatherings
• Prepare materials, presentations, and briefing documents for donor meetings and stewardship efforts
Donor Engagement Support & Meeting Preparation
• Support preparation for donor visits, including research, profiles, and materials
• Ensure all necessary information is organized and accessible for donor interactions
• Assist in tracking donor touchpoints and follow-up actions
Prospect Research & Pipeline Support
• Generate and analyze reports to identify under-engaged, lapsed, and high-potential donors
• Flag prospects for qualification and cultivation by Development leadership
• Support tracking of donor movement through the engagement pipeline
• Maintain accurate constituent codes and customized attributes within the database
Administrative & Office Operations
• Maintain organized digital and physical filing systems
• Manage correspondence and ensure professional, timely communication
• Support day-to-day office operations for the Development team
• Track and manage team tasks, deadlines, and follow-ups
• Coordinate internal communication to ensure alignment across events, stewardship, and donor activites• Proactively identify needs, communicate updates, and address potential administration gaps or delays
Systems Support & Training
• Support staff in using Raiser's Edge and related systems
• Maintain best practices for data entry and reporting
• Troubleshoot basic database issues and escalate as needed
Support Fundraising Partnerships at CCS
• Support interdepartmental fundraising efforts, such as Athletics and Fine Arts, through accurate data management, gift processing, and donor stewardship as directed by Development Leadership.Success Indicators• High level of data accuracy and integrity in donor systems

Qualifications:
Qualifications:
• A Christian who is a member of good standing in a Bible believing church.
• Bachelor’s degree (preferred)
• 1–3 years of experience in database management, administration, or development support
• Experience with Raiser's Edge or similar CRM preferred
• Strong attention to detail and accuracy
• Excellent organizational and time management skills
• Strong written and verbal communication skills
• Ability to manage multiple tasks and priorities effectively
