We are seeking a dynamic and highly organized Administrative Assistant to join our team and support daily office operations with enthusiasm and professionalism.   • Manage reception desk responsibilities, greeting visitors and clients with warmth and professionalism
  • Operate multi-line phone systems, directing calls accurately and courteously
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
  • Perform data entry tasks using Microsoft Office
  • Support calendar management by scheduling email reminders efficiently
  • Provide exceptional customer service by addressing inquiries promptly and professionally
  • Assist with clerical tasks such as proofreading documents and preparing correspondence,
  • Manage office supplies inventory, reorder stock as needed to maintain smooth operations
  • Support office management tasks including organizing files, maintaining office equipment, and coordinating with vendors
  • Occasionally lift 60 pounds

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Payment handling including cash, checks, credit cards
  • Shipping and packing experience
  • Scanning, filing, organizing documents
  • Maintaining office organization, supplies, inventory and general tidiness
  • Excellent phone etiquette with experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Familiarity with QuickBooks for bookkeeping and financial record-keeping is a plus
  • Strong typing skills coupled with attention to detail for proofreading and data entry tasks
  • Reliable, quick learner, ability to multi-task, enjoys communicating with clientele over the phone, in person and via email, works well with others
  • Exceptional customer service skills with a friendly, professional demeanor
  • Ability to manage time effectively in a periodically, fast-paced environment while prioritizing tasks
