We are seeking a highly organized and detail-oriented Trucking Operations Coordinator to join our team. This role is vital in managing daily logistics, coordinating shipments, and supporting office functions related to trucking operations. Duties
- Coordinate and schedule trucking shipments, ensuring timely delivery and pickup
- Manage communication with drivers, clients, and vendors via multi-line phone systems and email
- Maintain accurate records of shipments, deliveries, and related documentation using data entry and filing systems
- Utilize Microsoft Office Suite, Google Workspace, and other computer applications for reporting and correspondence
- Handle front desk responsibilities including greeting visitors, managing phone etiquette, and supporting administrative tasks
- Assist with office management duties such as calendar management, appointment scheduling, and document proofreading
- Support bookkeeping activities using QuickBooks or similar software for invoicing and expense tracking
- Provide exceptional customer service support to clients and internal teams
- Perform clerical duties including filing, data entry, proofreading, and maintaining organized records
- Support personal assistant tasks as needed to facilitate smooth office operations
- Maintain all DOT compliance requirements
- Oversee IFTA, fuel tax reporting, and trip documentation
- Manage permits, registrations, renewals, and state/federal filings
- Serve as point of contact during audits or inspections.
Experience
- 3 years of trucking operations or dispatch experience
- Strong DOT, safety, and trucking compliance knowledge
- Prior office management or administrative experience preferred, especially in logistics or transportation industries
- Experience with clerical tasks such as filing, data entry, proofreading, and calendar management required
- Familiarity with QuickBooks or other bookkeeping software is advantageous
- Strong computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and multi-line phone systems
- Excellent organizational skills with the ability to manage multiple priorities effectively
- Bilingual abilities are highly desired to support diverse client needs
- Previous customer service or front desk experience is beneficial
- Knowledge of office procedures such as phone etiquette, time management, and document handling will ensure success in this role
Pay: $40,000.00 - $55,000.00 per year
