POSITION SUMMARY

The Instructional Programming Clerk serves as the first point of contact for visitors, staff, and community members, providing professional customer service, managing communications, and supporting the safe and efficient operation of the central office. Ensures building security through visitor management and access control procedures, coordinates administrative functions for the Supervisor of School Safety, supports Board policy and administrative procedure publication, and provides operational support to the administrative department. Maintains confidentiality, exercises sound judgment, and performs a variety of administrative duties in accordance with Board policies and district procedures.

EDUCATION, CERTIFICATION AND EXPERIENCE

  1. High School diploma or General Education Development (GED) program certificate or equivalency.

  2. Knowledge of visitor management, access control, and school safety procedures.
  3. Skill in operating multi-line telephone systems, office equipment, and standard computer applications, including Microsoft Office and database systems.
  4. Ability to communicate effectively and professionally, both orally and in writing, with staff, students, parents, vendors, and community members.
  5. Ability to maintain confidentiality and exercise discretion when handling sensitive student, personnel, and district information.
  6. Ability to organize, prioritize, and manage multiple tasks, deadlines, and frequent interruptions in a fast-paced environment.
  7. Ability to maintain accurate records, prepare correspondence and reports, and perform detailed clerical and administrative work.
  8. Ability to exercise sound judgment, remain calm under pressure, and respond appropriately to emergencies, safety concerns, and difficult situations.
  9. Ability to establish and maintain effective working relationships with colleagues, administrators, and the public.
  10. Such alternatives to the above qualifications as the Calvert County Public Schools may find appropriate and acceptable.

 

ESSENTIAL JOB FUNCTIONS, RESPONSIBILITIES, AND DUTIES

  1. Welcomes and assists visitors, staff, and community members in person and by telephone by providing information, answering questions, and directing inquiries to the appropriate individual or department.
  2. Operates and maintains the central office telecommunications system by answering, screening, routing, and monitoring incoming calls and communications.
  3. Serves as the first point of contact for visitors and supports the security of the central office by controlling visitor access, verifying identification and visit purpose, monitoring building entry points, reporting safety concerns, and assisting with emergency response procedures in accordance with Board policy and administrative regulations.
  4. Maintains building security by monitoring the CCPS Integrated School Safety Software, processing visitor registrations, verifying visitor information, and issuing visitor badges in accordance with established procedures.
  5. Provides information and direction to visitors by maintaining current employee and department directories and communicating appropriate instructions and procedures.
  6. Coordinates the maintenance and publication of Board policies and administrative procedures by ensuring documents are finalized, accessible, and posted in accordance with approved processes.
  7. Maintains confidentiality of student, employee, and district information by adhering to applicable laws, regulations, and Board policies regarding privacy and records management.
  8. Provides administrative and operational support to the Supervisor of School Safety by coordinating schedules and appointments, preparing reports, presentations, and correspondence, maintaining confidential records and documentation, and assisting with the coordination of school safety initiatives.
  9. Maintains accountability for fleet vehicle keys and supports fleet operations by coordinating maintenance calendars, scheduling service appointments, tracking vehicle status, and maintaining related records and documentation.
  10. Provides administrative support (i.e. MABE accident reports, association leave, calendars, displays) and back-up to the Administrative Office by answering and routing telephone calls, taking messages, and assisting visitors.
  11. Coordinates shipping of packages (i.e Fed Ex, UPS) as needed.
  12. Comes to work promptly every day.

Performs related work as required or assigned by the designee.

PHYSICAL AND PSYCHOLOGICAL CONDITIONS/DEMANDS

Position requires significant periods of standing and walking and may require minimal lifting.  Work is performed in a typical office environment.  May be required to respond effectively to stressful situations, emergency events, security concerns, and interactions with upset or emotionally charged individuals while maintaining professionalism, confidentiality, and sound judgment.

Performance will be evaluated in accordance with the policy on evaluation as established by Calvert County Public Schools.

State law requires that anyone hired after October 1, 1986, who will have contact with school children, must be fingerprinted and submit to a criminal background investigation. Federal law requires that a new employee must complete the Employment Eligibility Verification (Form I-9) in person before beginning employment. Employment is conditional upon successful completion of a drug screen. Current employees of the Calvert County Public Schools are exempt from these requirements.  

   

House Bill 486 – Child Sexual Abuse and Sexual Misconduct Prevention Statement  

   

Pursuant to Section 6-113.2 of the Education Article, Annotated Code of Maryland - House Bill 486 Child Sexual Abuse and Sexual Misconduct Prevention, all applicants are required to report all former employment where direct contact with minors may have occurred. Applicants should also include contact information for organizations where the applicant has volunteered, coached, mentored, tutored or otherwise had direct contact with minors.
