Position Overview
CalMU is expanding and seeking a University Development Representative to support enrollment growth across our San Diego and San Jose locations. This role is execution heavy and front line focused. The University Development Representative is responsible for high volume outreach, pipeline management, and guiding prospective students through the admissions process.
This is not a passive advising role. Success in this position requires comfort with daily call targets, strong follow up discipline, and the ability to move prospects through the enrollment funnel efficiently. This role offers growth potential as CalMU expands its enrollment footprint.
Primary Responsibilities
High Volume Outreach and Enrollment Support
• Conduct 75 to 100 outbound calls per day to prospective students.
• Respond to inbound inquiries via phone, email, and CRM tasks within two business hours.
• Provide clear and accurate information about programs, admissions requirements, and next steps.
• Maintain consistent follow up to move prospects from inquiry to application to enrollment.
CRM and Pipeline Management
• Maintain accurate and timely records in the CRM.
• Track outreach activity, application progress, and follow up tasks.
• Ensure data integrity and documentation throughout the admissions cycle.
• Use pipeline data to prioritize outreach and improve conversion rates.
Admissions and Student Guidance
• Counsel prospective students on program fit and enrollment requirements.
• Support applicants through document collection and application completion.
• Coordinate with internal teams to resolve enrollment related issues.
• Maintain a working knowledge of CalMU programs, accreditation, financial aid options, and student services.
Outreach, Marketing, and Events
• Support email and outreach campaigns in coordination with the marketing team.
• Participate in virtual and in person recruitment events, campus tours, and information sessions.
• Represent the university professionally at community and recruitment events.
Performance Expectations
Performance in this role is measured against the following standards:
• 75 to 100 outbound calls completed daily.
• Inbound inquiry response within two business hours.
• Conversion rate benchmarks from inquiry to application and from application to enrollment, established with the Director of Domestic Enrollment Strategy.
• Accurate and current CRM documentation across all assigned leads.
• Active participation in recruitment events as scheduled.
Required Qualifications
Education
• Bachelor’s Degree in Business, Marketing, Communications, or a related field preferred. An equivalent combination of education and relevant experience will be considered.
Experience
• Minimum two years of experience in higher education recruitment.
• Experience with CRM systems and structured lead management. Familiarity with Salesforce, HubSpot, Slate, or similar platforms is preferred.
• Proven ability to manage high volume outreach and follow up.
• Prior experience in enrollment driven or quota oriented environments strongly preferred.

Physical and Travel Requirements
• Ability to sit and use a phone, computer, and headset for extended periods.
• Occasional travel between CalMU campuses in San Diego and San Jose
• Occasional travel to community events, college fairs, and recruitment activities.
• Ability to lift and carry recruitment materials of up to 25 pounds at events.
Compensation: $68,000 - $85,000 a year
