Job Summary This position is responsible for aligning business objectives with employees and management in designated business units/locations. Oversee and control/direct multi-site HR responsibilities in accordance with the policies and practices of the Company, social and ethical business practices, and the laws, regulations and administrative rulings of governmental organizations and other regulatory and advisory authorities and organizations. Administrator Support Provide HR leadership and support to include plant Recruiting, Onboarding, Payroll, Leave Administration & HR reports/analytics; being proficient in our HRIS system, creating presentations, spreadsheets, organization charts, orientation, etc. Provide general HR Administrator support for attendance tracking, Safety & Attendance program, learning & development, HRIS data input/maintenance, answering telephone inquiries, scheduling meetings, filing/record retention, grievance meetings, conferences, meetings, including; inviting attendees, reserving conference rooms, arranging for catering as needed, etc. Assist Sr. HR Manager on various human resources projects and administration of the location’s Labor Agreement. Keep associates informed of all changes in Company policies, and counsel with associates on policies and work-related issues. Anticipate the needs of HR business leaders and proactively address needs. Perform other day-to-day functions, such as, maintaining adequate office supplies and ordering other supplies as needed. Presentation materials, analysis support, project support Provide intermediate level Excel spreadsheet support (e.g. pivot tables, graphs, etc.) to meet necessary deliverables for HR Leaders (e.g. contract negotiations, organization structure changes, gap analysis, etc.) Provide advanced level PowerPoint support (e.g. SmartArt, org charts, etc.) in creating and developing presentation materials/tools, creating documents (e.g. competency materials, etc.), organization charts, etc. for self and other HR leaders to meet necessary deliverables. Additional data management support as needed. Gather and furnish data as needed – processes queries, reports and able to leverage all manner of HRIS systems (Ultipro, etc.), partnering with HRIS/Benefits/Talent/Compensation to provide data to Sr. HR Leaders, Directors, etc. to meet necessary deliverables. Planning and various special projects, researching and compiling information, preparing presentations, developing reports, etc. Manage special projects, as assigned, providing coordination as needed. Performs other related responsibilities as needed to support California Dairies, Inc. business objectives, and those of the HR department. Essential Functions Implement, direct and evaluate CDI’s Human Resources function and performance in designated locations. Act as a true Business Partner to, and be a part of local Plant Management, to help locations achieve their goals, budgets, and plans. Provide necessary support, advice, counsel, and guidance to line-management and employees in designated locations. Determine and recommend employee relations practices necessary to establish a positive employer-employee relationship and promote a high level of employee morale at each plant/location. Coordinate and work with employees, union officials and management in the administration of the designated location’s collective bargaining agreement. Establish credibility at designated locations with management and the employees with a high level of integrity and confidentiality in order to be an effective listener and problem solver of people issues. Enhance and/or develop, implement, and enforce company policies and procedures of CDI, by way of systems that will improve the overall operation and effectiveness of the business. Maintain knowledge of Company policies and HR programs, procedures, laws and issues. Understand the differences of federal and state laws, policies and programs and coordinate the integration and compliance of all such programs. Work closely with the local safety departments on overlapping areas. Follow all safety and working rules. Maintain the ability to get along with co-workers, management personnel, customers, vendors, and employees in accordance with the company policies and working rules while ensuring a harmonious and conducive work environment. Maintain a positive attitude and contribute toward a quality environment. Excellent regular, full-time attendance in support of company objectives. Use initiative and judgment in making decisions, keeping with CDI best interests. Performs other related responsibilities as needed to support California Dairies, Inc. business objectives, and those of the HR department. Perform other duties as assigned. Supervisory Responsibilities: N/A Qualifications (Knowledge, Skills, and Abilities) To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Demonstrated ability to work independently. Broad knowledge in each of the Human Resources functional areas – Recruiting/Selection, Benefits, Compensation, Performance Management, Organization Planning and Staff/Executive Development, Employee relations, EEO/Affirmative Action, Legal Compliance and Payroll. Knowledge of computerized information systems used in Human Resource applications. Proficient in Microsoft Office software – minimum intermediate level user of excel (e.g. pivot tables, formulas, graphs, etc.); advanced level user of PowerPoint (org chart function, SmartArt, etc.) Demonstrated ability in being able to be independent and self-starter in establishing priorities and meeting deadlines. Demonstrated ability in working in a fast-paced environment juggling multiple competing tasks and demands. Ability to communicate and work effectively with multiple levels and different functions within the organization including solid communication and presentation skills. Demonstrated ability in successfully working in a team environment required. Work requires continual attention to detail in creating reports and materials, data entry, etc. Ability to maintain the confidentiality of sensitive information required. Ability to assume responsibility without direct supervision, exercise initiative and judgment, make decisions within the scope of assigned authority and deal with highly confidential matters. Must be a fast learner and able to assimilate new software, procedures and techniques as introduced. Must demonstrate good judgement when carrying out duties as assigned. Education and/or Experience Minimum 3 years prior Human Resources positon/department experience required, preferably in a manufacturing environment. Associate’s degree in Human Resources or related field with minimum three years of experience providing HR support in a manufacturing environment, or equivalent combination of education & experience. Language Skills English is required as the written and spoken language. Certificates, Licenses, Registrations Preferred: Professional in Human Resources (PHR, PHR-CA, or SHRM-CP) or Senior Professional in Human Resources (SPHR, SPHR-CA, or SHRM-SCP). Driving Requirements Must possess or be able to acquire a state issued Driver’s License. Equipment None required beyond normal office equipment, and PPE when visiting/working in Plants, according to our Safety requirements. Work Environment Typically, office environment with occasional activities within a Plant. Sitting/Standing/Walking: Each workday the HR Administrator spend about 75% of their time sitting at their desk while performing computer or other clerical duties. They walk short distances to retrieve and replace files, to photocopy or fax documents, and to interact with other office personnel. Lifting/Carrying: Each workday the HR Administrator rarely carry items weighing over 15 to 20 lbs. Most items would be files or documents weighing less than 10 lbs., and most would be carried short distances. They are directed to seed assistance for heavier items such as a full box of photocopy paper. Pushing/Pulling: Each workday the HR Administrator may occasionally push or pull files, stacks of documents, or boxes of documents, which may be in files or on shelves at any height. They are directed to seek assistance for anything heavy. Bending/Stooping: Each workday the HR Administrator will minimally squat or kneel to retrieve and replace files and documents in file drawers or on lower shelves. Twisting/Turning: Each workday the HR Administrator extensively twist, turn and move their head, neck, shoulders, arms and hands at various angles performing heavy computer input, and comparing information from their computer monitor with paper documents. While standing or sitting at their workstation, they occasionally twist or turn to retrieve or replace something form an area beside their workstation. Climbing/Balancing: The HR Administrator may periodically need to walk up and down stairs. Reaching: Each workday the HR Administrator may reach overhead to retrieve or replace files or documents on high shelves. Grasping/Manipulating: Each workday the HR Administrator need full range of motion in both hands for heavy computer input and for using other office equipment including calculators, typewriter, and fax machines as well as for sorting through and organizing large stacks of documents.
