What are the responsibilities and job description for the Office of Philanthropy Executive Assistant position at California Community Foundation?
Starting hourly range: $38.79 - $40.26 per hour / Annual salary range: $75,633 – $78,500 per year
Full-Time, Non-Exempt, Hourly
This is an in-office position for the first 100 days. Requires in-office work five (5) days per week.
Following the first 100 days, staff have the flexibility to work two (2) days remotely. Mandatory in-office work days are Tuesdays & Wednesdays.

Provides administrative and project management support to the Chief Philanthropy Officer (CPO) and VP, Philanthropic Impact under the supervision of the Office of Philanthropy Business Manager of the California Community Foundation (CCF).

Minimum Qualifications
- Bachelor's degree in business or secretarial training
- Minimum 5 years as an executive assistant at non-profit preferred.
- Minimum 5 years of executive admin experience in a nonprofit, community Foundation, or similar industry preferred
- Serves as liaison between the CPO and VP, Philanthropic Impact and foundation departments.
- Maintains calendars for CPO and VP, Philanthropic Impact, scheduling all internal & external meetings, including those of external constituents and inter-organizational teams.
- Screens & handles telephone calls and email.
- Provides administrative and coordination support for donor and advisor relationships to ensure a seamless and high-quality experience.
- Coordinates donor and advisor meetings, including scheduling and logistics.
- Involved in various projects for the CIO, VP, Philanthropic Impact, the Office of Philanthropy Business Manager, and the Office of Philanthropy.
- Provides logistical support for meetings and events, ensuring smooth execution and a high-quality experience.
- Confident presentation, communication and interpersonal skills. An ability to compose and edit correspondence and basic reports, knowledge of proper English, grammar and punctuation is required, with knowledge of a variety of written styles and formats.
- Strong interpersonal skills and the ability to build rapport across the Foundation, while quickly and confidently gaining the respect of others.
- Solid planning and project management skills with the ability to multi-task and assimilate new information quickly.
- Strong organizational skills and attention to detail. Ability to prioritize work, anticipating the needs of busy executive, and adjust to multiple demands with minimal supervision.
- Internet competency and strong computer proficiency, including mastery of the Microsoft Office software suite and a familiarity with database software, with a willingness and ability to learn appropriate database, spreadsheet and other computer programs
