Position Summary

Works closely with assigned GOAL Coordinators, including receiving and processing paperwork, ensuring items are correctly submitted on time. Also, assisting staff with daily working office functions. Continued employment is contingent upon funding. This position is not eligible for non-probationary status.

Essential Duties and Responsibilities

  • Assist the AAESAP Coordinator in training departmental employees on proper data entry procedures.
  • Assist the AAESAP Coordinator in improving office policies, procedures and workflow.
  • Prepare statistical information, analyze, track, interpret and arrange a variety of data-based reports for direct program use as well as presentation.
  • Assist with the authoring, editing, proofreading, and preparation of a variety of documents.
  • Greet in-person visitors and respond to their needs appropriately.
  • Answer a multi-line phone system and direct calls appropriately.
  • Assist Coordinator maintaining up-to-date file system.
  • Screen, route, and coordinate pick-up of incoming mail including email.
  • Discern when confidentiality in work needs to be maintained and maintain that confidentiality.
  • Participate in college and departmental meetings as directed. Provide administrative assistance to a variety of projects, programs and initiatives.
  • Attend and participate in professional development and training including seminars, conferences, workshops, and other meetings concerned with the adult education program or related issues.
  • Alert supervisor of any issues that are in need of upper management attention.
  • Serve on campus committees as assigned.
  • Perform all duties with professionalism.
  • Perform related duties as assigned.

MINIMUM EDUCATION and/or EXPERIENCE

  • A minimum of a GED or High school diploma is required.

KNOWLEDGE, SKILLS AND ABILITIES:

  • A minimum of two (2) years (64 semester hours) of postsecondary education from accredited institution.
  • A minimum of two (2) years of office management experience.
  • Ability to utilize Excel or other database software (such as Access) to enter, format, sort and analyze information and prepare reports.
  • Ability to utilize Word or other word processing tools to prepare and communicate information.
  • Knowledge and understanding of the fundamentals of the Family Educational Rights and Privacy Act (FERPA).
  • Knowledge of generally accepted office practices and procedures, including records management.
  • Knowledge of common business processes.
  • Skill in operating a mouse to control a computer.
  • Skill in operating a computer.
  • Skill in utilizing a multi-line phone system.
  • Skill in operating printer, copy machine, fax.
  • Ability to work and communicate with a variety of people from diverse backgrounds
  • Ability to follow detailed instructions and adhere to prescribed routines.
  • Ability to document instructions.
  • Ability to make decisions based on correspondence, data or other information.
  • Ability to multi-task and prioritize issues.
  • Ability to operate in high pressure situations and respond to issues in a calm manner.
  • Ability to utilize email systems to communicate information.
  • Ability to work with minimal supervision/work independently.
  • Ability to operate in a professional manner at all times.
  • Ability to check/verify information.
