Vehicle Fleet Administrator
As the Vehicle Fleet Administrator for Caldwell and Gregory you will be proactively involved in the company's fleet by coordinating vehicle maintenance, ensuring regulatory compliance, accident management, and handling administrative tasks like registrations and record-keeping. Key responsibilities include scheduling routine maintenance, monitoring repairs, managing vendor relationships, and analyzing data to improve efficiency and control costs. The role also involves instructing drivers on policies and ensuring all vehicles meet safety and legal standards.
Key Responsibilities
- Vehicle Management: Oversee the procurement, registration, licensing, and disposal of vehicles.
- Driver Support: Provide guidance and instructions to company drivers on policies and procedures.
- Maintenance and Repairs: Schedule and monitor routine maintenance and repairs to prevent breakdowns and ensure vehicles are in good working order.
- Compliance and Safety: Ensure the fleet complies with all federal, state, and local regulations, including safety standards, inspections, and licensing requirements.
- Data Analysis: Track and analyze fleet performance data, such as fuel usage, costs, and maintenance records, to identify areas for improvement.
- Financial Management: Monitor and manage fleet-related expenses to ensure they stay within budget constraints.
- Vendor Relations: Act as a liaison with external vendors and service providers to negotiate repair costs and manage relationships.
- Record Keeping: Maintain accurate records for all fleet-related activities, including maintenance logs, fuel usage, and mileage reports.
- Toll Management: Deploy, record, and monitor electronic transponders sent to all field employees for automating toll payments by consolidating all toll expenses into a single bill, and providing data to avoid violations and fines.
- Loss Prevention: Ensure compliance with hours of service, telematics device connectivity, off-hours alerts, and unusual driving behaviors are promptly reported to managers.
- Other Duties: Perform other duties as assigned.
Key Skills & Qualifications
- Administrative skills: Strong organizational skills with experience in record keeping, data entry, and administrative support.
- Communication skills: Excellent verbal and written communication skills to interact with drivers, vendors, and other departments.
- Analytical and problem-solving skills: Ability to analyze data, identify issues, and develop effective solutions for operational problems.
- Computer proficiency: Proficiency with fleet management software and standard office programs like Microsoft Office Suite.
- Knowledge of regulations: Understanding relevant regulations, such as DOT and OSHA standards, depending on the industry.
- Experience: Typically requires a few years of related experience, potentially in an administrative or fleet-related role.

What we’re looking for:
- Valid Driver's License
- Ability to pass pre-employment screening.
- Specific Vehicle Fleet industry experience is a plus.
- High School Diploma or equivalent GED
- Professional appearance, attendance, and punctuality required.
- Ability to work independently and manage time efficiently.
- Basic computer skills for documentation and communication purposes.

Shift and schedule: 40-hour workweek, Monday through Friday 8:00 AM to 5:00 PM.
