The Data Administrative Assistant will provide comprehensive administrative and operational support to the Director. This position plays a key role in coordinatingprogram logistics, supporting data management and reporting, managing purchasing and spending documentation, scheduling meetings and trainings, and assisting with community engagement activities. The role helps ensure efficient day-to-day operations of our clients mission of reducing community violence and supporting individuals impacted by it.
Essential Job Functions:
Administrative & Program Support:
o Manage calendars, coordinate meetings, and schedule trainings and events for the CVI team and community partners.
o Prepare agendas, take meeting minutes, and distribute follow-up notes.
o Support daily program operations by maintaining organized records, databases, and digital files.
o Assist with creating PowerPoint presentations, reports, and correspondence for internal and external stakeholders.
o Track and organize deliverables related to program activities, events, and grant milestones.
Financial & Purchasing Support
o Assist with the preparation and processing of purchase requests, vendor quotes, and expense reimbursements.
o Maintain an up-to-date record of expenditures for grant-funded activities.
o Collaborate with Finance and Procurement teams to ensure timely payments and compliance with grant guidelines.
o Monitor inventory of office and community engagement supplies, and coordinate reorders as needed.
Data & Reporting Support:
o Enter and maintain accurate data for community engagement, participant outcomes, and program metrics.
o Support data analysis and report generation for monthly, quarterly, and annual grant reports.
o Use Excel to organize and visualize program data for leadership review and presentations.
o Ensure confidentiality and data integrity at all times.
Community Engagement Coordination
o Assist in implementing a robust data collection and analysis system to monitor program
effectiveness and identify trends in gun violence activity.
o Regularly review and interpret data to adjust program strategies and improve outcomes.
o Prepare comprehensive reports for internal and external stakeholders, including grant funders.
E. Community Engagement Coordination:
o Assist in the planning and execution of community events, meetings, and outreach activities.
o Coordinate logistics such as venue setup, catering, supplies, and registration.
o Communicate with partners, vendors, and community stakeholders as directed by the Director.
o Support staff and volunteers during community events to ensure smooth operations.F. General Support & Collaboration
o Serve as a point of contact for internal and external inquiries related to scheduling, events, and operations.
o Provide administrative support to the Director and team members as assigned.
o Participate in team meetings and contribute to continuous improvement discussions.
o Perform other duties as assigned that support the success of the Pivot to Peace program.
Travel and Learning:
o Occasionally attend conferences and learn from other successful violence intervention programs.
Additional Information:
o Based at the West Louisville Opportunity Center; in-person work required.
o Occasional evening or weekend hours may be needed for community events or trainings.
o Position is grant-funded; continuation is contingent upon ongoing funding.
o Must pass background check consistent with clients employment standards.
Requirements:
High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
Minimum 2 years of experience in administrative support, preferably in a nonprofit, community, or grant-funded environment.
Experience supporting program or project teams with data tracking, scheduling, and reporting.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational, multitasking, and communication skills.
Ability to maintain confidentiality and manage sensitive information.
Experience with budgeting, purchasing, or expense tracking preferred.
Familiarity with community violence intervention (CVI), re-entry, or social service programs is highly desirable.
Self-starter who can work independently and collaboratively in a fast-paced, community-driven environment.
