Administrative Specialist III


Highly organized and proactive Administrative Specialist III to support the VP Policy / Chief Sustainability Officer. This role is ideal for someone who thrives in a fast-paced environment, demonstrates strong attention to detail, and can anticipate needs before they arise.


Key Responsibilities:

  • Manage complex calendars, scheduling, and coordination for executive leadership
  • Arrange and coordinate travel, including detailed itineraries and logistics
  • Prepare and submit expense reports accurately and in a timely manner
  • Provide project coordination and administrative support to the broader team
  • Order supplies and coordinate catering for meetings and events
  • Create cohesive, high-quality documents by compiling input from multiple stakeholders


Qualifications:

  • Strong attention to detail and organizational skills
  • Ability to anticipate needs and proactively solve problems
  • High proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams)
  • Strong written and verbal communication skills
  • Ability to navigate and operate effectively within a large organizational structure
  • Quick learner with a continuous improvement mindset


Preferred Skills:

  • Experience supporting senior executives or C-level leaders
  • Project coordination or project management experience
  • Interest in leveraging AI tools to improve workflows and efficiencies
  • Ability to identify gaps and recommend process improvements
