LLC Documentation Specialist

The LLC Documentation Specialist is responsible for reviewing limited liability company (LLC) documentation related to mortgage loan applications and accurately inputting relevant data into the Encompass Loan Origination System (LOS). This role ensures compliance with investor, state, and federal guidelines and plays a critical part in maintaining data integrity throughout the loan process.

Key Responsibilities

• Review and analyze LLC formation documents (e.g., Articles of Organization, Operating Agreements, Certificates of Good Standing).
• Verify the legal structure and authorized signers of LLCs involved in real estate transactions.
• Ensure all LLC documentation complies with investor and underwriting requirements.
• Input accurate and complete data into the Encompass system, including entity names, ownership details, and signer roles.
• Communicate with loan officers, processors, title companies, and legal counsel for clarification or missing documentation.
• Identify discrepancies and escalate exceptions as needed.
• Maintain organized digital records of all LLC documentation in accordance with company policy.
• Monitor pipeline tasks and maintain service level timelines for document review and data entry.
• Assist in auditing files for compliance prior to underwriting or closing.

• 1–3 years of experience in mortgage lending, legal document review, or title/escrow preferred.
• Experience with Encompass LOS is strongly preferred.
• Knowledge of business entity types, especially LLCs, and legal documentation requirements.
• Strong attention to detail and data accuracy.
• Excellent organizational, communication, and problem-solving skills.
• Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
