Restoration Claims Coordinator
Position Summary
The Restoration Claims Coordinator is responsible for managing the administrative and insurance claim process for residential and commercial restoration projects. This role serves as the primary liaison between insurance adjusters, customers, project managers, and office staff to ensure claims are properly documented, approved, invoiced, and collected in a timely manner.
Key Responsibilities
- Open and manage insurance claims from first notice of loss through final payment.
- Maintain communication with homeowners, insurance adjusters, third-party administrators (TPAs), and project managers.
- Review daily job documentation for completeness and accuracy.
- Collect and organize photos, moisture logs, drying reports, equipment logs, and other required documentation.
- Prepare, review, and submit estimates, supplements, and invoices using Xactimate (or coordinate with the estimator).
- Track claim status and follow up on approvals, supplements, and outstanding documentation.
- Ensure all jobs are billed promptly and monitor accounts receivable until payment is received.
- Coordinate contents, pack-out, mitigation, reconstruction, and textile documentation as needed.
- Maintain organized electronic job files and ensure compliance with company standards and carrier requirements.
- Provide exceptional customer service by keeping clients informed throughout the claims process.
- Assist management with reporting on claim aging, collections, approvals, and job profitability.
Qualifications
- Experience in insurance restoration, construction, or property claims preferred.
- Working knowledge of Xactimate is preferred.
- Strong organizational and time management skills.
- Excellent written and verbal communication.
- Ability to manage multiple projects simultaneously.
- High attention to detail.
- Proficient with Microsoft Office and restoration software (Dash, PSA, Encircle, MICA, etc.) is a plus.

- Supplement approval rate.
- Average days from job completion to invoice.
- Average days outstanding on receivables.
