Job Summary
To support the Storage Department by maintaining accurate inventory records, conducting inventory audits and reconciliation activities, and ensuring storage information is accurately recorded within Moveware and related systems. The role will work closely with warehouse and inventory teams to improve inventory accuracy, optimize storage utilization, support operational efficiency, and contribute to revenue-generating storage opportunities through effective inventory and account management.
Key Responsibilities
Storage Administration & Inventory Management
- Provide administrative support and inventory management services for warehouse and studio storage operations.
- Maintain accurate client account records, inventory data, storage locations, and property movements within internal systems.
- Process scanned paperwork, inventory transactions, diary entries, and storage-related documentation.
- Monitor and document inventory discrepancies, damages, and location variances.
Client Account Management
- Liaise with warehouse, studio, and account management teams to ensure accurate inventory records and account maintenance.
- Support the client experience through account setup, inventory administration, billing processes, and post-invoice communications.
- Maintain accurate account information within Moveware, the Client Portal, and other internal systems.
- Ensure client files and project documentation are maintained and assist with client initiatives as directed by the Storage Manager or Storage Coordinator.
Billing & Compliance
- Process storage and studio billing estimates using established procedures and internal resources.
- Prepare billing documentation and charges for review and approval by the Storage Manager and Storage Coordinator.
- Monitor and follow all Coverage, Compliance, Sales Tax, KYC, and company release protocols.
Auditing & Process Improvement
- Perform routine account audits to verify inventory accuracy and account integrity.
- Provide support for inventory reconciliation and monthly account review activities.
- Assist in identifying and correcting account discrepancies to improve inventory accuracy.
- Support audit and system improvement projects in collaboration with the Storage Manager, IT, and operational teams.
- Contribute to the continuous improvement of storage administration processes and record management practices.
- Work collaboratively with warehouse, studio, and account management teams to support client projects and daily operations.
- Communicate inventory issues, discrepancies, and account concerns to the Storage Manager and appropriate stakeholders.
- Assist with special projects and departmental initiatives as assigned.
