Overview
We are seeking a dedicated and organized Office Coordinator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office. This position requires strong administrative skills, excellent organizational abilities, and the capacity to manage multiple tasks efficiently. As an Office Coordinator, you will be responsible for overseeing daily office functions, managing schedules, and supervising staff to enhance productivity and maintain a positive work environment. This role will require travel locally within Los Angeles, Denver and Dallas.

Responsibilities

  • Oversee daily office operations to ensure efficiency and effectiveness.
  • Manage calendars and schedules for team members, coordinating appointments and meetings.
  • Supervise administrative staff, providing guidance and support as needed.
  • Handle vendor management tasks, including negotiating contracts and maintaining relationships.
  • Maintain organized filing systems and ensure proper documentation of office activities.
  • Operate phone systems effectively to manage incoming calls and inquiries.
  • Assist in the development of office policies and procedures to improve workflow.
  • Collaborate with medical staff to ensure seamless communication within the office.

Experience

  • Proven experience in medical office management or similar roles is preferred.
  • Strong background in office management with demonstrated organizational skills.
  • Proficiency in calendar management and schedule coordination.
  • Experience supervising staff or managing teams is a plus.
  • Familiarity with phone systems and administrative software applications.
  • Excellent communication skills, both verbal and written, with a focus on professionalism.
