About the Opportunity
We are a premier, design-forward luxury finishes showroom in La Jolla. We are seeking a detail-obsessed, high-energy Full Charge Bookkeeper to manage the heartbeat of our financial operations.
This is a fast-paced, multi-faceted role that requires a high degree of professional autonomy. You won't just be "doing the books"; you will be managing a complex web of daily transactions, vendor relationships, and critical deadlines across multiple entities. If you are a proactive problem-solver who takes pride in absolute accuracy, loves a "rhythm-driven" schedule, and can pivot quickly between tasks, this is your desk.
Core Responsibilities
- Revenue & Client Management: Process client payments (credit cards/check deposits), manage DocuSign workflows for payment authorizations, and ensure daily inventory updates are captured accurately.
- Accounts Payable & Vendor Relations: Enter and code vendor bills and credit card transactions daily. Resolve billing discrepancies, monitor vendor statements, and manage "on the spot" payment requests to support our design team.
- Lease & Property Management: Maintain the "Critical Payments" calendar. Manage rent payments across multiple locations, including NNN, CAM charges, and tracking lease increases.
- Banking & Credit Cards: Perform daily data entry for bank and credit card transactions; reconcile accounts weekly to ensure 100% accuracy and follow through on any outstanding items.
- Payroll & Compliance: Manage semi-monthly payroll and commissions via ADP; prepare and process sales tax filings, prepayments, and quarterly obligations.
- Reporting & Closing: Manage the quarterly close process and provide year-end support. Generate sales reports for designers and maintain a clean, "audit-ready" general ledger.
What We’re Looking For
- Experience: 3 years of full charge bookkeeping experience, ideally in a fast-paced retail, design, or construction-related environment.
- The "Multi-Tasker" Mindset: Exceptional ability to switch between tasks and follow through on complex projects to completion without items falling through the cracks.
- Tech Savvy: Advanced proficiency in QuickBooks Online. Experience with ADP is preferred. Comfort managing digital documentation (DocuSign, Monday.com, cloud storage).
- Financial Accuracy: A sharp eye for identifying billing discrepancies and incorrect vendor charges before they impact the bottom line.
- Professionalism: High level of discretion and a communication style suited for a luxury showroom.
- Education: Degree in Accounting, Finance, or equivalent professional certification (QuickBooks ProAdvisor) is a plus.
