Overview
Cabinet Genies is looking for a highly organized and detail-oriented Administrative Assistant – Sales & Design Support to help support our Sales & Design department with meeting preparation, detailed note-taking, document organization, client packets, selections coordination, and administrative follow-through.
This is not a sales position and does not require advanced cabinetry or design experience. However, the ideal candidate should be comfortable working in a showroom environment, learning cabinetry and design terminology, organizing project information, and supporting a busy team with accuracy and professionalism.
This role is best for someone who enjoys keeping people organized, preparing documents before meetings, taking clear notes, uploading and filing information correctly, helping coordinate samples from the selections center, and making sure important details do not fall through the cracks.
Key Responsibilities
The Administrative Assistant – Sales & Design Support will:
- Prepare meeting documents, client packets, project folders, and presentation materials before scheduled meetings.
- Take detailed and accurate notes during internal meetings, client meetings, design discussions, and project review meetings.
- Upload, organize, and maintain documents, photos, plans, forms, notes, selections, and project information in the correct systems.
- Help keep client and project files organized, complete, and easy for the team to access.
- Assist with administrative tasks for the Sales & Design department.
- Help track missing documents, pending items, meeting follow-ups, and next-step reminders.
- Support calendar organization, appointment preparation, reminders, and meeting readiness.
- Assist with basic client communication and email support as the role develops.
- Help pull, organize, label, and coordinate samples from the selections center for client meetings and design presentations.
- Learn basic cabinetry, finish, hardware, countertop, and selections terminology to better support the team.
- Help organize showroom materials, sample areas, client selections, and sales/design resources.
- Maintain accurate records and follow established company processes.
- Communicate professionally with internal team members and clients when needed.
- Support the department by helping ensure meetings, documents, samples, and follow-ups are prepared on time.
Required Qualifications
To be considered, candidates should have:
- 2 years of experience in administrative support, project coordination, sales support, design support, construction office support, showroom support, or a similar role.
- Experience supporting a fast-paced department, manager, salesperson, designer, project manager, or client-facing team.
- Strong ability to take detailed, organized notes during meetings and turn those notes into clear action items.
- Experience preparing meeting documents, client packets, folders, forms, presentations, or project materials before scheduled appointments.
- Strong document management skills, including uploading, labeling, organizing, and maintaining digital files accurately.
- Strong computer skills, including email, calendars, spreadsheets, shared folders, PDFs, and office software.
- Ability to track missing information, pending items, follow-ups, deadlines, and next steps without constant reminders.
- Strong written and verbal communication skills.
- Comfortable working in person in a showroom/office environment.
- Ability and willingness to learn cabinetry, design selections, finishes, hardware, countertop materials, samples, and showroom processes.
- Comfortable pulling, organizing, labeling, and coordinating samples or materials for meetings and presentations.
- Strong attention to detail and ability to keep information accurate, complete, and easy for the team to find.
Preferred Qualifications
Strong candidates may also have:
- Experience in a cabinet showroom, design center, remodeling company, construction office, flooring showroom, countertop company, furniture showroom, closet company, real estate office, or home improvement business.
- Experience assisting with client meetings, project folders, proposal packets, selections, or presentation materials.
- Experience with CRM, project management software, Buildertrend, Google Workspace, Microsoft Office, Dropbox, OneDrive, or similar systems.
- Experience supporting designers, salespeople, estimators, project managers, or construction/remodeling teams.
- Interest in cabinetry, interior design, remodeling, construction, or home improvement.
