The Role:
We are seeking a Project Coordinator to support our inspection programs and related operations. You will work closely with Assistant Project Managers and Project Managers to keep day-to-day work on track across multiple workstreams. A significant part of this role will involve building and maintaining Excel trackers, improving existing processes, and supporting logistics, including hotel coordination for field teams. We are looking for someone detail-oriented, comfortable with spreadsheets, and steady in managing recurring tasks and communication.
This role is based in our San Diego office and is an in-office position.
What You Will Do
- Support inspection programs with daily coordination, tracking, and documentation.
- Build and maintain Excel and other tracker tools for schedules, production, assignments, and logistics.
- Coordinate hotel logistics for field inspectors, including room blocks, reservations, changes, and check-in information, in coordination with hotel vendors and internal leads.
- Maintain project schedules and basic production trackers, and update them based on team members' information.
- Prepare simple status updates and summary reports that show numbers, dates, and key items for follow-up.
- Maintain organized electronic files for logistics and project documentation, including consistent folder structures and naming conventions.
- Support issue resolution by capturing problems raised by teams, routing them to the right person, and tracking them until they are closed.
What We Are Looking For
- Two to four years of experience in project coordination, operations, administrative support, or similar work, in construction, field services, or related work.
- Strong skills in Excel, including working with tables, filters, basic formulas, and simple reports.
- Experience using collaboration and project tools such as Microsoft Teams, SharePoint, Smartsheet, or similar platforms.
- Strong work ethic, reliability, and consistency in meeting deadlines and following up on open items.
- High attention to detail and accuracy in data entry, lists, and written communication.
- Comfort working in a fast-moving environment where priorities can shift based on field conditions and client needs.
- Professional, clear communication with internal teams and external vendors.
Preferred Qualifications
- Experience supporting large programs, field crews, or remote teams.
- Experience coordinating travel or hotel logistics for teams, or managing relationships with vendors or service providers.
- Comfortable working in a collective, transparent, and highly communicative environment.
- Interested in improving processes and tools over time, not just maintaining them.
