A non-profit whose mission is improving the health and economic security of older adults is looking for an Executive Assistant to the CEO. The CEO been recognized on The NonProfit Times' Power and Influence Top 50 list multiple times. The office has 85 employees and a collaborative, mission-oriented culture. The role is hybrid: 4 days in office, 1 day remote. The Executive Assistant will have their own office.
About the Job:
- Build a strong working partnership with the CEO to understand priorities, communication preferences, decision-making style, and organizational objectives.
- Manage and prioritize the CEO's complex and evolving calendar, ensuring alignment with strategic priorities and maximizing executive effectiveness.
- Monitor and triage the CEO's email and correspondence, drafting responses, managing follow-up actions, and ensuring timely communication.
- Coordinate all aspects of executive meetings, including agendas, briefing materials, background documents, presentations, talking points, and follow-up actions.
- Prepare and maintain a weekly executive briefing package that consolidates key information, priorities, and upcoming commitments.
- Arrange and manage travel logistics, itineraries, expense reports, vendor agreements, and related administrative activities.
- Conduct research, analyze information, and prepare reports, presentations, and briefing materials for internal and external audiences.
- Maintain organized electronic and physical records for the Executive Office.
- Serve as the primary administrative liaison to the Board of Directors and designated Board committees and coordinate Board and committee meeting schedules and logistics.
- Prepare, compile, and distribute Board books, meeting materials, agendas, and governance documentation.
- Attend Board and committee meetings and serve as the official recorder, producing accurate and timely meeting minutes.
- Maintain official corporate records and Board documentation in accordance with governance practices.
- Ensure Board member contact information and related records remain accurate and current.
- Coordinate Executive Team meetings, All Staff meetings, retreats, and organizational gatherings.
- Manage calendar invitations, meeting logistics, materials, and related communications.
- Collaborate closely with the Chief of Staff and Executive Team to support organizational priorities, CEO outreach efforts, and key initiatives.
- Facilitate communication and coordination between the Executive Office and internal stakeholders.
- Support executive and organizational projects that advance strategic objectives.
- Lead or support cross-functional projects and special initiatives as assigned.
- Gather, analyze, and synthesize data to support executive decision-making.
- Create professional presentations and reports that communicate key insights and recommendations.
- Identify opportunities to improve efficiency, organization, and effectiveness within Executive Office operations.
- Maintain confidentiality
About You:
- Minimum of 7 years of experience supporting a CEO, Executive Director, President, or other senior executive.
- Experience working with a Board of Directors, including governance and administrative Board liaison responsibilities
- Bachelor’s degree or equivalent combination of education and experience.
- Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
- Strong communication skills: written and verbal

- Dynamic and proactive comfortable in a fast-paced environment.
- Polished, professional demeanor and the gravitas to interact with high-level executives
