Job Title: SPECIFICATION SALES REPRESENTATIVE at C&O SALES

Lighting Quotations Specialist
Purpose of Role
Responsible for producing accurate, competitive lighting quotations for C&O Sales’ customers, including electrical distributors and contractors. This role ensures all quotes follow established SOPs, maintain consistency in Oasis, and support the sales team in securing projects.
Key Responsibilities
RFQ Intake and Setup
- Review incoming RFQs for completeness (plans, specs, counts) and request missing information as needed.
- Check Oasis for existing quotes; if none exist, create a new project using established naming and setup standards.
- Attach and accurately label all documents in Oasis, including RFQs, counts, plan PDFs, and manufacturer quotes.
Quoting Process
- Approach each bid strategically, considering the competitiveness of the opportunity, customer priorities, and project viability. Develop a plan for how quotes are positioned rather than simply submitting prices without evaluation.
- Confirm specification status (specified, equal, subject to approval) and coordinate with sales and controls teams as required.
- Perform take-offs, crossovers, and build BOMs from fixture schedules.
- Use Bluebeam for precise measurements, counts, and takeoffs from plans and drawings.
- Send RFQs to manufacturers, track responses, and update Oasis with color-coded, labeled factory quotes.
- Ensure complete lighting packages, fill pricing gaps when possible.
- Identify value engineering opportunities and recommend alternative products to improve competitiveness or meet project requirements.
Internal Coordination and Follow-Up
- Collaborate with the controls team to integrate controls BOMs and submittals.
- Consult with quotes lead or management on pricing strategy, overage allocation, or bid/no-bid decisions.
- Maintain an organized list of active quotes and bids for follow-up with customers and sales teams.
- Track bid results, document customer feedback, and update opportunities in Oasis or other tracking systems.
- Review post-bid feedback with sales to identify areas for improvement in future quotes.
- CC sales team on all outgoing quotes and notify them of opportunities requiring follow-up.
- Maintain open communication with manufacturer contacts for updates on pricing, product availability, and changes.
- Attend manufacturer trainings, webinars, and product launches to stay current on offerings.
- Monitor market price points and product developments to inform quoting strategy and maintain competitiveness.
- Produce periodic reports for management on quote volume, hit rate, and trends to evaluate performance and market conditions.
Project Handoff
- For awarded projects, review purchase orders, submittals, and approval drawings against the final quote.
- Identify and resolve discrepancies; request revised POs when necessary.
- Update Oasis and mark project status before handoff to order entry.
Performance Expectations
- Approach bidding with a strategic mindset, focusing on opportunities where C&O Sales can add value and win business rather than indiscriminately submitting prices.
- Maintain quote accuracy, completeness, and adherence to SOPs.
- Meet established bid deadlines.
- Keep all documentation organized and easily retrievable in Oasis.
- Communicate effectively with internal teams, customers, and manufacturers.
- Proactively manage and follow up on bid lists to maximize closing rates.
- Maintain strong manufacturer relationships and stay current on product updates, trainings, market changes, and competitive price points.
Reporting Structure
Reports to: Quotations Lead / Sales Manager
Required Knowledge and Skills
- Working knowledge of lighting products, specifications, and controls integration.
- Proficiency in Oasis or equivalent quoting systems, plus standard office software, and skilled in using Bluebeam for takeoffs directly from drawings.
- Ability to read and interpret lighting schedules, plans, and specifications.
- Proficiency in Bluebeam for takeoffs and measurements.
- Strong attention to detail and organizational skills.
