C&G – JOIN OUR TEAM
Bring Your Energy. Build Your Skills. Make an Impact.
A ROLE WHERE YOUR WORK MATTERS
Are you the person who notices what needs attention and steps in to help? Do you enjoy keeping people and details connected while bringing positive energy to the office? C&G could be a great place to put those strengths to work.
ABOUT THE ROLE
We’re looking for a dependable, personable Administrative Coordinator who brings confidence, initiative, and a professional presence. You’ll help keep our office welcoming, organized, and responsive while supporting visitors, communications, meetings, vendors, documentation, bids and contracts, events, deliveries, and office systems. You’ll work with different personalities and shifting priorities, with room to learn the business, build your skills, and grow with the team.
You don’t need to walk in knowing everything. We value someone who is teachable, curious, willing to learn, and comfortable asking questions. At the same time, we want someone who takes ownership, follows through, and becomes the kind of person the team knows they can count on.
WORK LOCATION
This is a full-time, onsite position at C&G’s Calumet City office. Candidates must be within a reasonable commuting distance and able to reliably report to the office for their scheduled shifts.

- Serve as the onsite point of contact for employees, visitors, customers, vendors, and deliveries, creating a welcoming and professional first impression.
- Answer, screen, and route incoming calls; filter spam/unwanted calls and help ensure general calls reach the appropriate onsite contact.
- Monitor and support the general Info inbox as assigned, responding to or routing administrative requests appropriately.
- Receive and distribute incoming mail and packages.
- Prepare outgoing mail and coordinate FedEx, UPS, USPS, same-day messenger, and courier services.

- Receive and scan incoming checks, send scanned copies to accounting, and route physical checks according to internal procedures.
- Provide notary support if commissioned, or be willing to obtain a Notary Public commission if requested.
Executive & Team Support
- Coordinate executive calendars as needed, schedule visits from special guests, and let staff know who is expected at the office.
- Support weekly meetings, including agenda preparation, meeting coordination, notes/action items, and follow-up.
- Assist with meeting-room setup, office technology, Zoom, Microsoft Teams, and other meeting needs.
- Provide hands-on administrative support to staff and leadership as priorities arise.
- Use good judgment when handling changing priorities, confidential information, and requests from different members of the team.
Administrative, Documentation & Compliance Support
- Assist with assigned company, customer, vendor, certification, compliance, and project documentation.
- Support documentation such as MBE/WBE certifications, Certificates of Insurance, Schedule B/C, Letters of Intent, business licenses, W-9s, CRT-61s, resale certificates, tax-exemption documents, and related requests as assigned.
- Assist with customer and vendor setup, credit applications, project information forms, and supporting documentation as assigned.
- Own the administrative bid and contract process from opportunity intake through submission, award documentation, and project handoff. Track deadlines and required items, coordinate inputs and approvals with the appropriate team members, and keep follow-up moving.
