Job Title: Pre-Production Coordinator
Reports To: Pre-Production Manager
Position Summary
The Pre-Production Coordinator supports the successful execution of fabrication projects by ensuring all required documentation, Request-for-Quote (RFQ) inputs, and system data are accurate and complete prior to release to the shop floor. This role bridges sales, estimating, engineering, and production by coordinating quotes, managing job documentation, coordinating customer communication, and maintaining data integrity across systems.
Key Responsibilities
- ERP Data Entry and Estimating Coordination
- Support the estimating team by entering new RFQs into the bid log and organizing RFQ documentation into job folders
- Track quote status and follow up internally to ensure timely responses
- Assist in transferring awarded quotes into ERP as active jobs, ensuring accuracy between estimate and production data before release
- Maintain organized records of quotes, revisions, and customer communications
- Assist with basic QuickBooks tasks including estimate entry and closure
- Customer Service & Communication
- Communicate with customers regarding approvals, submittals, revisions, and order status
- Coordinate RFIs (Requests for Information) and clarify project requirements when needed
- Provide timely updates and maintain strong customer relationships
- Organization & Document Management
- Maintain and organize job folders, fabrication drawings, cut lists, and project documentation
- Ensure proper version control for drawings, estimates, revisions, and customer specifications
- Pre-Production Coordination
- Collaborate with estimating, engineering, and shop supervisors to ensure readiness for fabrication
- Track project timelines and flag potential delays or missing components
Qualifications
- Associate’s or Bachelor’s degree in Business, Manufacturing, or related field (or equivalent experience)
- 1–3 years of experience in metal fabrication, manufacturing, or estimating support preferred
- Strong proficiency in Microsoft Office and SharePoint
- Experience with ERP systems
- Basic knowledge of QuickBooks or accounting support functions
- Strong attention to detail and organizational skills
- Excellent communication skills, both written and verbal
