Position Summary:
We are seeking a detail-oriented and organized Administrative Assistant to support the Provider Services department. The ideal candidate will be responsible for maintaining provider records, managing documentation, handling phone communications, and assisting with provider file management across multiple locations. This role requires strong organizational skills, attention to detail, and the ability to handle confidential information professionally.
Required Qualifications
- High School Diploma or GED required.
- Minimum 1 year of administrative, clerical, office support, or records management experience.
- Strong computer and organizational skills.
- Excellent verbal and written communication skills.
- Ability to manage confidential information and maintain accurate records.
- Reliable transportation and willingness to travel between assigned locations.
Key Responsibilities
- Answer and direct incoming phone calls in a professional manner.
- Maintain, organize, and file provider credentialing and personnel records.
- Monitor and follow up on provider licenses, certifications, and other expiring credentials.
- Process provider resignations, status changes, and related documentation.
- Archive provider files and coordinate storage through Iron Mountain records management services.
- Retrieve provider files and documentation for surveys, audits, and compliance reviews.
- Rotate between Sinai and Northwest locations to assist with filing, archiving, and records management activities.
- Ensure all provider records are accurate, complete, and up to date.
- Support department operations with additional administrative duties as assigned.
