As an Executive Meeting & Sales Coordinator, you will serve as a critical link between our clients, our hotel teams, and our sales leadership—ensuring that meetings, events, and group stays are seamlessly executed and aligned with the brand’s elevated service expectations.
This hybrid role combines strategic sales support, meticulous event planning, and exceptional guest service to drive revenue, enhance operational efficiency, and deliver memorable experiences.
Sales Support & Client Engagement
- Support the sales team in identifying, soliciting, and securing new group and event business through prospecting, site visits, and proactive follow-ups.
- Prepare and manage proposals, contracts, group resumes, banquet event orders (BEOs), and internal documentation with accuracy and brand alignment.
- Assist with lead distribution and turnover processes while maintaining detailed and organized sales records.
- Respond promptly and professionally to client inquiries—via phone, email, and in person—ensuring that all communication reflects AC Hotels' refined service standards.
- Identify and communicate upselling opportunities across catering, room upgrades, audiovisual enhancements, and curated services to maximize total revenue.
- Collaborate with clients to understand their vision and translate it into detailed event plans, encompassing logistics such as space layout, AV needs, culinary selections, and timelines.
- Manage all aspects of group room blocks, including reservations, rooming lists, cutoff dates, and special requests.
- Serve as the liaison between clients and internal departments, ensuring all event details are communicated clearly and executed flawlessly.
- Attend internal planning meetings, including BEO/resume meetings, to support proactive communication and service consistency.
- Maintain updated client and event records in CRM and hotel systems, ensuring data integrity and traceability.
- Perform a wide range of administrative tasks to support the Sales & Events team, including filing, email correspondence, document preparation, reporting, and internal communications.
- Assist with market research, competitor analysis, and targeted customer outreach to support strategic sales initiatives.
- Provide on-site support during events as needed, ensuring smooth operations, quick issue resolution, and elevated guest interactions.
- Collaborate closely with the front desk, culinary, banquet, and operations teams to ensure cohesive service delivery across all touchpoints.
- Monitor guest and client satisfaction, resolve concerns tactfully, and escalate issues appropriately to ensure brand standards are upheld.
- Demonstrate a high level of personal presentation, discretion, and professionalism in alignment with Marriott’s brand standards.
- Follow all safety, security, and PPE protocols, reporting potential hazards immediately and responding effectively in emergency situations.
- Embrace cross-training and continuous learning to support departmental agility and professional growth.
- Maintain punctuality and reliability as essential aspects of the role, including availability on weekends, holidays, and varied shifts based on business needs.
