Job Summary
We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and ensuring smooth office operations. This role requires strong communication skills, proficiency with office management tools, and the ability to multitask efficiently in a fast-paced environment. Experience with medical reception duties is a plus.
Duties
- Greet visitors and clients warmly, ensuring a positive first impression
- Manage multi-line phone systems, directing calls appropriately and taking detailed messages
- Schedule appointments on EHR system.
- Handle data entry, filing, and document proofreading to maintain accurate records
- Assist with office management tasks such as filing, organizing supplies, and maintaining cleanliness
- Provide excellent customer support via phone, email, or in person
- Manage correspondence and respond to inquiries efficiently using proper phone etiquette and organizational skills
- Support other administrative staff with clerical tasks such as typing, proofreading, and data entry
Requirements
- Proven experience in office management, clerical work, or as a receptionist; medical or dental receptionist experience is a plus
- Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and data entry skills
- Familiarity with multi-line phone systems and office equipment
- Excellent organizational skills with the ability to prioritize tasks effectively
- Exceptional customer service skills with professional phone etiquette and interpersonal communication
- Experience with scheduling.
- Ability to handle confidential information discreetly and maintain professionalism at all times
- Strong time management skills to manage multiple responsibilities efficiently
