Duties

- Manage multi-line phone systems to answer inquiries, direct calls accurately, and handle messages promptly
- Schedule appointments, coordinate calendars, and assist with basic office management tasks using Microsoft Office and Google Workspace tools
- Perform data entry, filing, and maintain organized records to support administrative operations
- Handle incoming and outgoing correspondence, proofread documents for accuracy, and ensure timely follow-up on requests
- Support bookkeeping activities using QuickBooks or similar accounting software as needed
- Provide exceptional customer service by addressing inquiries efficiently and maintaining excellent phone etiquette
Requirements
- Proven experience in office management, clerical roles, or as a receptionist in a fast-paced environment
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
- Experience working with multi-line phone systems and managing front desk operations
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Bilingual abilities are highly desirable to assist diverse clientele
- Previous experience in medical or dental reception is a plus but not required; relevant personal assistant experience is beneficial
