As a Receptionist/Administrative Assistant, you will be the vibrant face of our organization, ensuring that every visitor feels welcomed and every task is executed with precision. Your role will be pivotal in maintaining smooth office operations while providing exceptional customer service. You will manage front desk activities, support administrative functions, and contribute to a positive work environment.
What you’ll do
- Greet and assist visitors with a warm and friendly demeanor, ensuring a positive first impression.
- Manage multi-line phone systems, directing calls efficiently and handling inquiries with professionalism.
- Perform data entry tasks accurately to maintain up-to-date records and files.
- Organize and maintain office documents through effective filing systems.
- Utilize Microsoft Office for various administrative tasks.
- Provide calendar management support, scheduling appointments and coordinating appointments as needed.
- Support team members with clerical duties, enhancing overall office productivity.
- Assist with showing apartments/move ins/outs as needed.
- Creating marketing materials for our apartment complexes
- Advertise on Apartments.com- create listing, update availability photos, pricing
information on all apartment sites and website
- Helping prospective tenants with the application process and writing leases.
Basic qualifications
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Excellent computer literacy, including proficiency in Microsoft Office Suite and Google Workspace.
- Demonstrated customer service experience with a focus on phone etiquette and client support.
Preferred qualifications
- Bilingual capabilities to enhance communication with diverse clientele.
- Familiarity with office management practices and personal assistant responsibilities.
- Proven time management skills to prioritize tasks effectively.
