Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, screen calls, and direct inquiries efficiently
- Maintain accurate records through data entry, filing, and proofreading documents
- Handle appointment scheduling, calendar management, and coordinate meetings or events
- Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar tools
- Assist with clerical duties including typing correspondence, managing office emails, and supporting administrative projects
- Ensure excellent phone etiquette while providing top-tier customer support and support to internal teams
Skills
- Proven experience in office management or administrative roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Excellent computer literacy with familiarity in data entry, filing systems.
- Strong customer service skills with a professional phone etiquette and bilingual abilities (preferred)
- Ability to multitask effectively while managing time efficiently in a busy front desk environment
- Personal assistant experience or familiarity with calendar management and appointment scheduling
