The Associate, Assistant Property Manager (“APM”) provides property management support, handling tenant inquiries, project coordination for all tenant events, assisting the Property Manager with a variety of tasks, and providing superior customer service to our clients (owners, lenders, and tenants). The APM is the face of Bulfinch to our tenants and provides them with a seamless, engaging, and compelling customer experience that increases tenant retention and drives property and overall portfolio value.

- Manage and support the tenants in the portfolio by proactively anticipating the needs, expectations, and obligations according to the tenant lease terms and expectations according to the Bulfinch standard of excellence.
- Work cross functionally with all Bulfinch teams to support our tenants including, but not limited to, prioritizing, and responding to tenant work order requests, complaints, or concerns and coordinating timely responses and solutions with the Property Management site teams.
- Support and coordinate with the Managing Director of Leasing to stay abreast of tenant space needs, and updates or changes to the space, and potential for early termination notifications.
- Engage tenants and maintain positive relationships with tenants through various communication activities such as: the creation of new tenant welcome packages, social media channels, quarterly tenant newsletters, and community event information.
- Coordinate programming with various organizations and vendors including but not limited to: Building Impact, bike and ride sharing organizations, book drives, and outdoor community spaces.
- Monitor and track major tenant milestones to engage, and connect with, the tenant to drive retention.
- Perform financial functions such as aiding in the preparation of budgets, invoice review and approval, accruals, reforecast and reporting budget variances, and executing accurate and timely tenant billing.
- Produce, modify and/or distribute various contracts, spreadsheets, manuals, information packages, vendor and emergency contact lists and miscellaneous deliverables.
- Provide project and property management support to Property Managers and the Field Operations Team by scheduling contractor work, communicating property and company protocols to vendors, maintaining vendor COI’s, and drafting as well as monitoring vendor contracts.
