Position Summary
The Assistant Controller serves as BAGI’s senior in-house accounting professional and is responsible for the organization’s day-to-day financial operations and close processes. Working directly under the CEO and Fractional CFO, this role ensures the accuracy, consistency, and integrity of BAGI’s accounting in a nonprofit, member-based environment with multiple revenue streams, events, programs, and affiliated activities.
This position is highly hands-on and is responsible for executing the monthly and year-end close, maintaining strong internal controls, and supporting financial transparency for executive leadership.
Key Responsibilities
Financial Operations & Reporting
- Oversee all accounting operations, including accounts payable, accounts receivable, cash receipts, and general ledger activity
- Maintain the integrity of the general ledger, balance sheet, and income statement, with particular attention to deferred revenue, prepaid expenses, and accruals common to member-based organizations
- Oversee and assist in the monthly and year-end close processes, ensuring consistency, accuracy, and adherence to established timelines, and prepare or review internal financial statements and management reports for the CEO, board, and volunteer leadership
- Ensure accurate financial reporting across BAGI’s programs, events, membership activities, sponsorships, and affiliated entities
- Coordinate audit, review, or other external reporting requirements, including preparation of schedules and supporting documentation
- Support the preparation of the annual budget, financial forecasting, and financial monitoring reports in collaboration with the CEO and Fractional CFO
- Ensure no individual has end-to-end control over financial transactions
- Monitor adherence to financial policies and procedures
Nonprofit & Member-Based Financial Complexity
- Oversee revenue recognition for membership dues, event registrations, sponsorships, and other program-based revenue streams
- Ensure appropriate accounting treatment for deferred revenue that spans fiscal years
- Support financial tracking and reporting for special programs, initiatives, and affiliated entities
- Maintain clarity and transparency in reporting to support leadership and Board oversight
Systems, Process & Continuous Improvement
- Serve as owner of financial systems, ensuring consistent and effective use across the organization
- Identify opportunities to streamline processes, reduce manual workarounds, and improve efficiency
- Partner with external advisors and vendors related to accounting systems, audit, and financial compliance
- Support the implementation and ongoing refinement of system improvements adopted by BAGI
Audit & Compliance Support
- Prepare schedules and documentation to support audits or external reviews
- Respond to audit requests and provide required supporting materials
- Ensure all work aligns with established policies and accounting standards
Internal Controls & Governance
- Maintain strong internal accounting controls and ensure that no single individual has end-to-end authority over financial transactions
- Identify accounting risks, discrepancies, and opportunities for improvement and elevate them to the CEO and Fractional CFO
- Support financial transparency and accountability for CEO, board, and volunteer leadership and organizational oversight
Hybrid Coordination & Organizational Support
- Operate effectively within a hybrid environment, coordinating workflow between remote and in-office staff
- Collaborate closely with the Office Manager and Administrative Assistant to ensure financial documentation and approvals are timely and complete
- Provide training or process guidance to administrative staff supporting transactional accounting tasks
Reporting & Relationships
- Reports to: CEO and Fractional CFO
- Works closely with: Office Manager and Administrative Assistant
- Serves as: Primary internal accounting contact for BAGI

Qualifications
- Bachelor’s degree in Accounting, Finance, or related field required
- 3-6 years of accounting experience
- Strong understanding of general ledger accounting and reconciliations
- Experience executing month-end close processes
- Experience with accounting systems (e.g., QuickBooks or similar) and Excel
- High attention to detail and strong organizational skills
- Ability to work independently and manage multiple priorities
- Clear and effective communication skills
