Operations Coordinator of Boys and Girls Club

 

DEFINITION:

Under the supervision of the Executive Director, the Operations Coordinator provides advanced and varied administrative support to the Executive Director. The Operations Coordinator prepares correspondence, manages schedules and calendars, answers telephones and maintains hard copy and electronic files. This position is dedicated to the fulfillment of the mission of the Boys & Girls Club at the national level. 

 

SUPERVISION AND REQUIRED KNOWLEDGE:

Work is performed in correspondence with the Executive Director. Guidelines include all Boys & Girls Clubs of America and all Pueblo of Pojoaque policies and procedures. 

 

RESPONSIBILITIES:

·         Performs advanced secretarial duties, preparing correspondence and reports. Proofreads all materials for accuracy prior to Executive Director’s review and signature.

·         Prepares meeting agendas and minutes, as requested.

·         Maintains master schedule of Club activities and events, collecting and disseminating information to Club staff, volunteers, members, and families as instructed.

·         Answers telephones, providing general information, forwarding callers to other staff or taking messages as necessary.

·         Compiles and analyzes information and prepares draft reports to support Executive Director.

·         Maintains electronic and hard copy filing systems, making sure they are accurate and timely.

·         Facilitates easy retrieval of information.

·         Monitors office supply inventory and orders supplies as necessary.

·         May be responsible for service contracts and contracting service representatives as needed.

·         Monitors and logs staff attendance and transits attendance data to payroll.

·         Maintains close, daily contact with Club staff and supervisor to receive/provide information, discuss issues, and explain guidelines/instructions.

·         Maintains contact with Board volunteers, community contacts, Club members’ families, and the general public to give and obtain information, either in response to inquiries or as instructed by supervisor.

QUALIFICATIONS:

·         Must have a Bachelor’s Degree in Social Science or related field from an accredited college or university and/or four years equivalent experience.

·         Must have experience in working with children, knowledge of the problems of youth, and have the ability to train and direct staff and/or volunteers.

·         Must have an understanding and capability of implementing the Boys and Girls Club philosophy.

·         Demonstrated ability to communicate clearly and knowledgeably to members, staff and parents and other related agencies.

·         Ability to accept responsibility and act independently in directing programs.

·         Basic personal computer skills.

·         Must be able to prioritize, organize, and delegate assignments.

·         Must be able to handle multiple projects simultaneously.

·         Must be able to lift up to 50 pounds.

·         Must be able to perform moderate physical activity, performing somewhat strenuous daily activities of a productive and technical nature.

·         Must be punctual.

·         Must possess a valid NM driver’s license.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:

·         Possessing certain physical or mental abilities (e.g., meeting vision, hearing, or lifting requirements; showing an ability to run or climb; exercising good judgement).

·         Demonstrating certain attributes, such as, the ability to work with other people or to work under pressure.

·         Must possess a current, valid drivers’ license and be able to drive a 15 passenger van to transport children to and from field trips and other activities.

·         Must assist with routine daily cleaning and maintenance of the building, facility and surrounding grounds.

·         Some travel required.

·         Drug tests and background checks required.

WORK HOURS

School Year- 10:00am-6:00pm, Monday-Friday

Summer Program-varies

*Must be present for Club Activities and Special Events that may be after regular hours (Teen Night, Field Trips, etc.); Usually less than 20 hours per month.
