What are the responsibilities and job description for the Deputy Register in Probate position at Buffalo County, WI?
Join our team as a Deputy Register in Probate / Deputy Probate Registrar / Deputy Clerk of Juvenile Court / Deputy Judicial Assistant / Deputy Clerk of Court and play a key role in supporting court operations while serving the community with professionalism and integrity.
This position is a 50% split between the Circuit Court performing Deputy Register in Probate, Deputy Probate Registrar, Deputy Clerk of Juvenile Court, and Deputy Judicial Assistant duties and the Clerk of Court performing as a Deputy Clerk of Court.
- Accepts, processes, and routes e-filed and manual court documents in the CCAP system; assigns case numbers, class codes, and scans documents.
- Maintains confidentiality and manages invoicing, filing fees, and certification/copy fees.
- Coordinates Guardianship WATTS Reviews, Guardian ad Litem appointments, and hearing schedules.
- Generates required reports to state agencies and assists the public via phone, email, or in person.
- Manages the law library and assists the Judge with case management, document generation, committees, and special projects.
- Clerks court proceedings and assists with scheduling hearings, trials, conferences, and Zoom sessions, including coordinating with other counties, attorneys, and interpreters.
- Provides support for Register in Probate, Juvenile Clerk, and Judicial Assistant duties as needed.
Supports overall office operations, including file management, scanning, storage, supplies, and correspondence.
Manages financial accounts including processing receipts, deposits, payments, tax intercepts, collections, writs, deferred payment plans, and balancing daily transactions.
- Reviews, accepts, and processes court filings, dispositions, sentences, and related documents for all case types; ensures proper classification, fees, and e-filing compliance.
- Maintains and reports case and financial data to state, federal, and local agencies as required.
- Assists the public, defendants, petitioners, and attorneys with court procedures, forms, financial information, and navigating court services.
- Prepares and manages court calendars, jury pools, hearings, and documents for judges, commissioners, and appeals, including clerking court proceedings.
- Performs specialized duties such as passport processing, sealing/expunging records, assisting with child custody/support motions, foreclosure matters, and notarial acts.
Stays current with court programs, procedures, and statutory requirements.
High School diploma or equivalent is required. An associate degree in administrative assistant, paralegal, accounting, or related field is preferred.
- Must have at least two years of work experience in customer service. At least two years of experience providing support to court function, district attorney, or law firm is preferred.
- Proven ability to maintain confidentiality.
- Knowledge of legal terminology and courtroom principles and accounting principles is preferred.
- Advanced computer skills are required.
- Must become familiar with Wisconsin Statutes relating to the department.

This position works primary hours of 8:00AM to 4:30PM Monday through Friday onsite at the Buffalo County Courthouse located in Alma, WI.
This is a non-exempt position with an hourly pay range of $22.75 to $24.05 dependent on education, skills, and experience.
