Job Description:
As an Office Administrator / Office Manager at Buckley Fence, you will play a key role in supporting the daily operations of a fast-paced fencing and construction business. You will coordinate administrative functions, assist with project scheduling, and serve as a central point of contact for customers, vendors, and field crews. This role is essential to keeping office operations organized and ensuring projects run smoothly from estimate to completion.
Key Responsibilities:
- Manage day-to-day office operations for a busy fencing company
- Answer phones, respond to customer inquiries, and schedule estimates and service calls
- Coordinate project schedules between customers, sales team, and installation crews
- Prepare and track invoices, payments, and basic bookkeeping tasks
- Maintain customer records, contracts, and job documentation
- Order and track office supplies and coordinate with material vendors
- Assist with permit applications and job-related paperwork as needed
- Support onboarding paperwork and administrative needs for field staff
- Ensure accurate data entry in job tracking or CRM systems
- Maintain a professional and organized office environment
Required Skills & Tools:
Office & Operations Management
- Experience in office administration, preferably in construction or a trade-based business
- Strong organizational skills with the ability to manage multiple projects and deadlines
Customer Service & Communication
- Excellent phone etiquette and customer service skills
- Ability to communicate effectively with customers, vendors, and field crews
Software & Tools
- Microsoft Office Suite (Excel, Word, Outlook)
- Google Workspace (Docs, Sheets, Calendar)
- Experience with CRM, scheduling, or job management software (preferred)
Financial & Administrative Support
- Basic bookkeeping, invoicing, and payment tracking
- Attention to detail in handling contracts and job records
Education & Experience:
- High school diploma or equivalent required; Associate or Bachelor’s degree preferred
- 2–5 years of experience in office administration, ideally in construction, landscaping, or a related industry
Preferred Qualifications:
- Experience working in a fencing, construction, or home services company
- Familiarity with permits, job costing, or materials ordering
- Ability to work in a fast-paced, team-oriented environment
- Bilingual (English/Spanish) is a plus
