Job Title: Coordinator II - Innovation & Engineering Operations
Position Overview/Position Responsibilities:
As the Innovation & Engineering Operations coordinator, you will be responsible for maintaining department Purchase Orders and Invoices, scheduling vendor and contractor service visits, collecting and filing service records, running reports, and assisting in department projects such as inventory improvement, work order flow, work order data analysis, and enhancing the employee experience. This position requires ability to communicate and work with professionalism and passion to achieve results and meet customer requirements.
Strong organizational skills with proven ability to organize, track and communicate job information to all levels of the organization as well as with vendors and contractors are critical to success while exercising discretion and independent judgment with respect to matters of significance to the overall operation.
Essential Duties and Responsibilities:
- Manage POs to ensure accuracy of vendor, costs, and delivery.
- Create POs for vendors and assist in scheduling of visits.
- Manage good receipts for invoice processing and validation.
- Communicate and work with various departments and vendors.
- Support vendor safety and management programs.
- Use well-developed communication and interpersonal skills to lead and influence functional groups.
- Manage vendor service records to maintain proof of service and keep the department audit ready.
- Use skills in Microsoft Office, Teams, and SharePoint to create and update legacy record keeping practices to digital.
- Assist in special projects aimed at improving department workflow, record keeping, and work order execution.
Job Requirements:
- Required: Intermediate level Computer skills: Microsoft Office, Outlook, Teams, and SharePoint
- Required: Excellent oral and written communication skills
- Required: Able to multi-task, manage conflicting priorities, and meet commitments with a bias for action
- Preferred: SAP, Warehouse Management System (WMS)
- Preferred: Work Order Management System – NetFacilities
What we are looking for:
- High School Diploma
- Accounting and bookkeeping experience
- Strong oral and written communications skills
- Strong organizational skills
- Able to multi-task, manage conflicting priorities, and meet commitments with a bias for action.
- Intermediate level Computer skills: Microsoft Office, Outlook, Teams, and SharePoint
Advantageous skills:
- 2-4 years of experience of bookkeeping and accounting
- Strong Working knowledge of Microsoft Excel and Word
- SAP, Warehouse Management System (WMS), MyMarket
- SAP experience preferred
- Work Order Management System - NetFacilities
