The Big Spring School District is seeking individuals that would be interested in the following CLASSIFIED POSITIONS:  Administrative Assistant (Full Time)  

 

Potential Vacancies are as follows:

 

  • District Administrative Offices in the Special Education Department.  This vacancy is a 7.75hr/day position working 232 days per the school calendar.  
  • Middle School Counseling Office.  This vacancy is 7.5hr/day position working 190 days per the school calendar.

Full time positions include Medical, Eye, and Dental coverages.  Also PSERS retirement and a Life Insurance policy provided by BSSD.

 

Specifics regarding duties, wage, schedule, and additional benefits applied to each respective position will be addressed in the interview process.  Starting rates may range from $17.27 - $19.92/hr.  Additional wage offered for Post-Secondary Education Degrees and proven direct industry experience.

QUALIFICATIONS

The Administrative Assistant shall:

  1. Possess a high school diploma.
  2. Have high school and/or supplemental training in typing, basic accounting procedures, and a thorough knowledge of general office operational procedures.
  3. Possess a minimum of one (1) year of successful administrative clerical experience in a business or educationally related area.
  4. Demonstrate proficiency in the use of commercial office productivity software

ESSENTIAL FUNCTIONS

SCOPE OF RESPONSIBILITIES

  1. Receptionist
  2. Attendance
  3. Forms and Supplies
  4. Student Concerns
  5. Guidance

CLERICAL RESPONSIBILITIES

  1. General Office:
  2. Compose, prepare, type, distribute and file memos, forms and correspondence as directed
  3. Reports and Bulletins:
  4. Be responsible for all school reports
  5. Be responsible for excuse card filing, daily attendance and attendance reports
  6. Be responsible for maintaining an up to date pupil information file
  7. Be responsible for typing and distributing the principal’s weekly staff newsletter
  8. Receive and distribute records of all elementary pupils
  9. Maintain files of guidance counselor
  10. Communications:
  11. Serve as building receptionist for students and the public
  12. Be responsible for telephone calls
  13. Be responsible for all incoming and outgoing mail
  14. Be responsible for the public address communication system of the

Building

  1. Be responsible for typing and sending notices to parents and children
  2. Be communication secretary for the guidance counselor
  3. Materials and Supplies:
  4. Maintain inventory, receive, check and distribute supplies and equipment
  5. Inventory, compile, school order for textbooks and distribute the same to classroom

 

MISCELLANEOUS RESPONSIBILTIES

The Administrative Assistant shall:

  1. Temporary coverage for staff in the building
  2. Assist in the preparation of special projects or requests for information as directed by the principal
  3. Assist other secretaries under unusual circumstances and exceptional workload requirements
  4. Perform other duties as directed by District Administration

 

WORK ENVIRONMENT

  1. Office, Schools, meeting and conference areas. Work indoors and outdoors; visit classrooms and area employers. 
  2. Position is in well-lighted and well-ventilated school buildings.

 

ATTENDANCE

  1. Regular attendance is required. Persistent absence, and/or leave without pay, is grounds for dismissal.

 

PHSYICAL DEMANDS

  1. Frequent travel to school district buildings.
  2. Frequent walking throughout various areas.
  3. Often sitting at a desk for extended periods.
  4. Standing for limited periods of time.
  5. Frequent bending, stopping, twisting, reaching, grasping, sitting and typing
  6. Moderate moving from 15 to 50 pounds.
  7. Some carrying – up to 50 pounds.
  8. Manual dexterity to use office equipment.
  9. Repetitive movement of fingers and hands for keyboarding.

 

SENSORY ABILITIES

  1. Visual acuity to read correspondence and a computer screen.
  2. Auditory acuity to be able to use telephones.
  3. Ability to speak clearly and distinctly.

 

TEMPERAMENT

  1. Must appropriately handle confidential information as required by State and Federal regulations.
  2. Must be courteous and able to deal effectively with people.
  3. Must be able to work as a member of a team.
  4. Must be able to cooperative, congenial and service-oriented.
  5. Ability to work in an environment with frequent interruptions.

 

COGNITIVE ABILITY

  1. Ability to follow written and verbal directions and give direction to others.
  2. Ability to complete tasks with minimal supervision.
  3. Ability to read, write and do complex computations.
  4. Ability to use correct grammar, sentence structure and spelling.
  5. Ability to organize setting to efficiently accomplish tasks.
  6. Ability to work independently and make work-related decisions.
  7. Ability to exercise good judgment in prioritizing tasks.
  8. Ability to communicate effectively.

 

LICENSE

  1. Valid Driver’s License
