We are seeking a professional and organized Secretary/Receptionist to join our team. Responsibilities
- Greet visitors and clients professionally at the front desk, ensuring a welcoming environment
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
- Perform data entry, filing, and maintain accurate records using various office management software including QuickBooks when applicable
- Handle correspondence via email and postal mail with attention to proofreading and proper etiquette
- Assist with administrative tasks such as photocopying, scanning, and organizing documents
- Support bookkeeping activities and basic office management duties as needed
- Provide excellent customer support by addressing inquiries promptly and courteously
- Maintain office supplies inventory and coordinate procurement when necessary
- Uphold phone etiquette standards and ensure professional communication at all times
Experience
- Previous clerical or administrative experience in an office setting is preferred
- Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with multi-line phone systems and front desk operations is highly desirable
- Bilingual abilities are considered an asset for effective communication with diverse clients
- Knowledge of QuickBooks or bookkeeping experience is a plus
- Strong organizational skills with the ability to manage multiple tasks efficiently
- Excellent typing speed and data entry skills for accurate record keeping
- Proven ability to handle customer service roles with professionalism and courtesy
- Experience in medical or dental receptionist roles, or as a personal assistant, will be considered advantageous
