Position Overview: BrushPros is seeking a highly organized and dependable work-from-home Office Administrator to take ownership of day-to-day office operations in our family owned home services company. This role serves as the central hub between customers, field crews, and leadership—ensuring scheduling, communication, payroll, and administrative systems run smoothly.
This role will work closely with our current office administrator during the season to learn and implement systems and processes, with the goal of growing into full ownership of the position.
BrushPros has been around for more than 40 years, providing life-saving defensible space clearing and yard cleanup services primarily in the East Bay Area. The company is highly seasonal, with peak demand in May-July.

Key Responsibilities
Scheduling & Operations
- Manage daily job scheduling and optimize calendar for up to 5 crews
- Coordinate with field crews on timing, changes, and job details
- Communicate schedule updates clearly to customers and team
Customer Communication
- Answer inbound calls, texts, and emails
- Provide estimates support, confirmations, and follow-ups
- Handle basic customer service issues and escalate when needed
· Upkeeping customer lists with latest contact information
· Making proactive reminder calls
Payroll & Administrative
- Assist with processing payroll and verifying time sheet accurancy (experience with Gusto or similar preferred)
- Maintain accurate employee records and job documentation
- Assist with invoicing, payments, and general office tasks
Hiring & HR Support (Seasonal Team)
- Prepare seasonal onboarding paperwork and new hire documentation during April
- Coordinate hiring logistics and communication with candidates
- Ensure compliance with basic employment requirements
Systems & Organization
- Help improve and maintain internal systems and workflows
- Keep digital files, job records, and communications organized
- Identify inefficiencies and suggest practical improvements
Qualifications
- Prior experience in an administrative, office, or operations support role
· Strong organizational and multitasking skills. Detail-oriented and reliable
- Proficient basic math skills: percentages and multiplication.
- Clear, professional communication (phone, text, email)
- Comfortable learning and using software systems (CRM, scheduling tools, payroll platforms)
- Proficient in Microsoft Office and Excel spreadsheet use
- Quick learning of tech tools and experience with using AI.
- Must be able to attend occasional meetings in-person, up to several times per month in Oakland area.
- Must be available to start within 1 week.
Preferred:
- Strong preference for candidates located within 2 hours of our East Bay service area, to handle occasional in-person tasks and meetings.
- Office experience in home services, construction, or field service industries
- Familiarity with Gusto, Housecall Pro, or similar tools
Compensation & Schedule
- $24–$30/hour, depending on experience
- Full-time, Work from Home (typical hours: Monday–Friday, 7:30 a.m.– 5 p.m.)
- Potential for growth and increased responsibility over time: position starts as a 4-month hire for April-July, with potential to extend to year-round, but with reduced hours during slower months.
- Peak season (May–July): 8–10 hour days, with opportunities for overtime pay
- Slow-season months: flexible 4–8 hour days depending on business needs
