We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities
- Greet visitors and manage front desk operations with professionalism and warmth
- Operate phone system - answer calls , schedule and reschedule existing and new patients, take messages, answer basic office questions
- Maintain medical record systems using Webpt
- Perform data entry, and ensure accuracy in all correspondence
- Support simple bookkeeping tasks using QuickBooks
- Provide customer support via phone and email, ensuring excellent service and timely responses
- Assist with office management duties such as ordering supplies, maintaining inventory, and organizing files
- Handle clerical tasks including typing, photocopying, faxing, and mailing
- Help maintain company social media pages
Requirements
- Proven experience in an administrative or office support role with strong organizational skills recommended
- Excellent computer literacy with the ability to learn new software quickly
- Strong phone etiquette and experience managing patient needs on the phone
- Previous experience as a receptionist or dental/medical receptionist is advantageous
- Demonstrated ability to multitask efficiently while maintaining attention to detail
- Excellent time management skills with the ability to prioritize tasks effectively
- Clerical experience including filing, data entry, schedule management
- High School Diploma
- Dependability is very important due to this being a small office
