JOB DESCRIPTION

This individual will serve as Broyhill’s Chief Operating Officer, overseeing all non-investment activities of the firm and ensuring that operational, accounting, and compliance responsibilities are completed accurately, on time, and documented appropriately.


This is a true owner-operator role. Your mandate is to run the business and operations so the investment team can focus solely on the portfolio. That means taking full ownership of the operating details, building structure and discipline into how work gets done, and making high-quality decisions with minimal involvement from the CIO.

QUALIFICATIONS AND SKILLS

  • Significant experience operating inside an investment management environment (RIA, hedge fund, asset manager, family office, fund administrator, auditor, or similar), with direct exposure to finance, operations, and compliance responsibilities.
  • Demonstrated ability to build and upgrade institutional processes, controls, and reporting in a small, high-accountability environment.
  • Strong competency in financial reporting, budgeting, and operational workflows, with the ability to review work for precision and catch issues before they leave the building.
  • Working knowledge of SEC compliance requirements (either as CCO or an operational owner partnering closely with outside compliance support).
  • Exceptional written and verbal communication skills and an ability to represent the firm with maturity and clarity.


RESPONSIBILITIES

LEADERSHIP AND EXECUTION

  • Own all non-investment activities of the firm, leading the firm’s end-to-end operating cadence, and executing on all deliverables with 100% accuracy without reminders.
  • Make decisions and keep day-to-day issues off the CIO’s plate while escalating the right items at the right time (material, irreversible, client-impacting, reputational, or regulatory matters).
  • Protect the investment team, ensuring the majority of their time is spent driving returns by proactively removing operational burdens rather than leaning on them for support.
  • Build and maintain a documented operating system: calendars, checklists, standard operating procedures, and internal controls, with clear ownership across the firm.
  • Reconcile issues in a timely and efficient manner, managing all service providers with urgency and professionalism (no lingering open loops, no “waiting on them” as a permanent state).


FINANCE, ACCOUNTING, AND OPERATIONS

  • Oversee accounting and reporting across the firm, including budgeting, forecasting, cash management, payables/receivables, and payroll administration.
  • Own the accuracy of internal and external reporting, including statements, reports, audits, and tax returns, including any data required for marketing materials and investor communications.
  • Oversee all of the firm’s accounting workflows, including coordination with administrators and outside accountants, monthly books, allocations, statements, and fee calculations.
  • Maintain institutional-quality documentation and a clear “source of truth” for performance, fees, and client/investor reporting.
  • Manage all firm financial obligations and service providers; oversee day-to-day operations in HR, legal, payroll, benefits administration, 401k administration, and administrative areas.
  • Oversee accounting and reporting for all separate accounts and private funds, including oversight of the audit and tax return preparation of Broyhill’s private funds.


COMPLIANCE AND RISK MANAGEMENT

  • Ensure the firm meets its obligations within all regulatory frameworks, maintaining the highest ethical standards, protecting its reputation, mitigating risk, and fostering a culture of integrity.
  • Execute all aspects of the firm’s compliance program, ensuring it follows all relevant regulations, meets institutional standards of quality, and remains current, complete, and exam-ready.
  • Maintain all required regulatory filings and internal compliance documents (including Form ADV, Form 13F, Form N-PX, code of ethics, and related firm policies).
  • Perform ongoing, quarterly, and annual compliance processes: attestations, employee trading oversight, outside business activities, marketing review, email and communications surveillance coordination, training, annual reviews, etc.
  • Proactively identify and address risks, implement improvements, provide guidance clearly and early (no surprises), and ensure employees adhere to internal policies and external regulations.
  • Ensure all internal firm documentation is always up to date and maintained clearly and consistently.


OPERATING INFRASTRUCTURE & REPORTING

  • Own all workflow execution and reporting infrastructure: intake and triage of investor requests, coordinating materials, maintaining data, marketing materials, and standard responses, and ensuring the firm is always “institution-ready” with accurate data, clean processes, and professional execution.
  • Manage operational and logistical needs for the firm’s funds, including coordination with fund counsel, administrator, and auditor, to prepare legal documents, oversee flows, and reporting.
  • Support operational needs of the separate account business by generating reports, managing the composite, reconciling trades, and verifying activity alongside the team.
  • Manage relationships with the Broyhill Family Office, various platforms, and TAMP partners, including onboarding, continued outreach, due diligence, reporting, and support as needed.
  • Provide ongoing operational support to the investment team, and prepare reports as needed to monitor the portfolio, performance, risk, etc.
