SUMMARY:


Reporting to the System Director of Ambulatory Optimization, the Project Manager is responsible for the success of projects for ambulatory operations and services across the system, related to all service lines. Projects span operational performance improvement, access initiatives, ambulatory growth issues/opportunities, and other areas of need relative the Brown University Health’s ambulatory services. The Project Manager is skilled at collaboration across multidisciplinary teams to drive project goals and objectives, works with leaders to set and adhere to timelines, and ensures clarity of project scope and organizational accountability. Co-develops deadlines and targets with team leadership, tracks progress to deadlines, assigns responsibilities, identifies co-dependences and obstacles, understands and reports on financial indicators and project metrics, and monitors and summarizes progress of project.


Our ambulatory community reaches across all Hospital Outpatient Department areas across RI, including Rhode Island Hospital, Hasbro Children’s Hospital, The Miriam Hospital, Newport Hospital, all RI ambulatory and urgent care operations, ancillary services, Hospital-licensed (Morton and Saint Anne’s Hospitals) and non-licensed ambulatory locations in Massachusetts located in the greater Foxborough, Attleboro, Taunton, Fall River, and Norwood areas, including two free-standing Ambulatory Surgery Centers. Working in partnership with Hospital Operations in RI and in Massachusetts, as well as a wide range of support functions (including ancillary services, IS, HR, Finance, Supply Chain, Case Management), our team is charged with organizational change, system integration, and driving operational excellence via both direct authority as well as through indirect influence. Through these efforts, we are creating a unified, high-performing, patient focused ambulatory community across a broad geographic region, committed to improving access for our patients.

  • Acts as a leader in all facets of project management.
  • Actively assists senior leader in process of opportunity identification, solution recommendation, and refinement of implementation plans for each project.
  • Drives the collaborative process to efficiently develop each project plan, including stakeholder involvement, defining deliverables, timing and key milestones. Juggles multiple projects at a time.
  • Supports leadership’s vision, driving the assessment and prioritization of projects, project plan/timeline development, communication plan for each project, and project execution.
  • Leads the team through the execution of the project and monitors progress against the plan, initiating corrective action as necessary.
  • Identifies and collaborates with senior leader regarding resources for projects – this can include defining and assigning project roles, additional stakeholders, or other resources needed in order to meet milestones.
  • Identifies project barriers/constraints/risks and works with senior leader on mitigating them; ensures that issues and risks are known to leadership throughout the project.
  • Balances schedule, scope, and budget in coordination with senior leaders. Escalates issues to System Director for Ambulatory Optimization and senior leader as appropriate.
  • Drives a wide variety of projects, including but not limited to: operations improvement efforts, new construction projects, renovation and/or consolidation of operations; develops implementation recommendations as part of project plans.
  • Responsible for regular involvement of, communication with, and driving input from key stakeholders on each project; regularly updates senior leader and System Director.
  • Ensures alignment with project objectives and identifies opportunities to increase process efficiencies, cost-effectiveness, quality, and service.
  • Employs disciplined documentation for project process and progress to establish consistent project organization and reporting.
  • Produces presentations for stakeholders and executives as needed.
  • Partners with Sr Analyst, Ambulatory Business Operations, as needed to collect and analyze data to determine baseline and progress metrics.
  • Collaborates with finance and other support departments to ensure the accuracy of targets and validation of metrics, both leading and trailing indicators.
  • Consults with leadership regarding analysis observations; provides recommendations regarding project/process improvements.
  • Adept at balancing competing priorities and work schedule and collaborates with others.
  • Performs other duties as assigned.


Key accountabilities:

Thrives in a matrixed management structure: This role must navigate well in a matrixed, multi-layered organization, will possess organizational savvy, and collaborate with department, system and senior leadership, to ensure alignment with system-wide goals and objectives. Facilitate communication and information flow across all stakeholder departments.


EDUCATION:


Bachelor’s degree required.

Training in process improvement and Scrum or Agile methodologies preferred.

Project management certification preferred.


EXPERIENCE:

  • Critical thinker with excellent communication skills.
  • Experience in project management and healthcare required.
  • Proven track record in working cross-functionally across business units and/or multidisciplinary project teams.
  • Possess project management skills, tools, concepts, and methodologies; Lean/ Six Sigma experience or certification a plus.
  • Possess a functional understanding of financial analytics and data.
  • Display understanding of workflow process mapping and change management principles.
  • Possess strong leadership skills: effective interpersonal skills to influence and guide solutions.
  • Familiarity with Microsoft tools (Excel, Powerpoint, Power BI) and Epic reporting.


SUPERVISORY RESPONSIBILITY:


Provides functional guidance to others who may be assigned on a project basis.


Pay Range:

$88,944.86-$146,770.62
