SUMMARY:
Reporting to the System Director of Ambulatory Optimization, the Program Coordinator supports ambulatory operations and services across the system, related to all service lines. The Program Coordinator is skilled at collaboration across multidisciplinary areas and supporting ambulatory leaders in adhering to timelines, deadlines, and other key milestones.
Our ambulatory community reaches across all Hospital Outpatient Department areas across RI, including Rhode Island Hospital, Hasbro Children’s Hospital, The Miriam Hospital, Newport Hospital, all RI ambulatory and urgent care operations, ancillary services, Hospital-licensed (Morton and Saint Anne’s Hospitals) and non-licensed ambulatory locations in Massachusetts located in the greater Foxborough, Attleboro, Taunton, Fall River, and Norwood areas, including two free-standing Ambulatory Surgery Centers. Working in partnership with Hospital Operations in RI and in Massachusetts, as well as a wide range of support functions (including ancillary services, IS, HR, Finance, Supply Chain, Case Management), our team is charged with organizational change, system integration, and driving operational excellence via both direct authority as well as through indirect influence. RESPONSIBILITIES:
- Provide administrative support tasks for ambulatory senior leaders.
- Proactively support, organize, coordinate, and act as key on-site facilitator of ambulatory events, including but not limited to Ambulatory New Employee Orientation, Communicate with Heart, community health events, and referral development (CME) sessions.
- Working with Ambulatory leadership, monitor system’s rewards/recognition efforts and events; support the development and take the lead on the execution of a similar ambulatory effort across the system.
- Organize, coordinate, and implement a variety of Ambulatory employee engagement efforts across the system – this can include employee appreciation events, Perceptyx action plan reviews, employee flu clinics across ambulatory, and other opportunities as identified by ambulatory senior leadership.
- Support employee well-being and recognition programs across ambulatory.
- Demonstrate willingness and ability to manage or access resources for smooth events – this includes IT, AV, Marcomm, Operations, Facilities, Security, Human Resources/Talent Management, and other stakeholders as needed. Partner with system resource contacts to move issues forward in a timely fashion.
- Support the creation and dissemination of ambulatory patient communications.
- Support the implementation of ambulatory-wide employee communications.
- Identify barriers/constraints/risks to duties in a timely manner.
- Develops, maintains, and manages productive, professional relationships across ambulatory and system-wide departments.
- Employ disciplined documentation as needed to establish consistent program organization and reporting, and follow-up.
- Manage tasks appropriately, prioritizes work schedule, and collaborates with others.
- Perform other duties as assigned.

MINIMUM QUALIFICATIONS:
EDUCATION:
Bachelors' degree preferred.
EXPERIENCE:
- Critical thinker; decisive when necessary.
- Facile with Microsoft Office suite (Word, Outlook, Excel, PowerPoint, Power BI, etc.)
- Experience in healthcare delivery environment is desirable.
- Organized, personable, can-do spirit
- Able to adapt in a changing environment
- Possess strong leadership skills: effective interpersonal skills to influence and guide solutions.
