About Broughton Construction
Broughton is looking for an organized, detail-oriented Administrative Assistant to serve as the daily link between our field crews and the office. This on-site role is primarily responsible for collecting, reviewing, and entering crew time each day, and for making sure information flows accurately and on schedule between the field and office. We're looking for someone dependable who communicates clearly with crews and foremen, catches discrepancies before they become problems, and can take ownership of administrative processes with minimal oversight.
Key Responsibilities
- Collect daily time entries from foremen and field crews by phone, in person, or through our timekeeping system
- Review time entries for accuracy and completeness, and follow up with crews to resolve missing or inconsistent hours
- Enter and process data in the timekeeping system in time for each payroll deadline
- Track hours by job/project for accurate job costing, and flag discrepancies to supervisors or the office manager
- Act as the main point of contact between the field and office, relaying schedules, job assignments, and updates in both directions
- Organize and maintain both digital and paper filing systems, including timesheets, contracts, and project records
- Order and track office supplies and equipment
- Support invoicing, purchase orders, and basic bookkeeping tasks alongside the accounting team
- Assist with scheduling and coordinating subcontractors, vendors, and jobsite logistics as needed
- Help new employees onboard with paperwork, equipment setup, and orientation logistics
- Perform other administrative duties as assigned
Qualifications
Required
· High school diploma or equivalent required; associate degree preferred
· 1 years of administrative, office support, timekeeping, or payroll-adjacent experience preferred
· Comfortable working with timekeeping/payroll software; experience with a field-timekeeping or job-costing system is a plus
· Proficient with Microsoft Office (Word, Excel, Outlook) and general office equipment
· Strong written and verbal communication skills, including comfort communicating with field crews by phone and in person
· Excellent organizational skills and close attention to numerical detail and accuracy
· Ability to manage multiple deadlines and prioritize in a fast-paced environment, especially around payroll cutoffs
· Professional, friendly demeanor with strong customer service instincts
· Reliable, punctual, and able to maintain confidentiality of payroll and personnel information
Preferred
- Experience in construction, contracting, or a related field-based industry
- Familiarity with Procore or similar software
Work Environment & Schedule
This is a full-time, on-site position based at the Broughton office, typically Monday through Friday during standard business hours. Occasional flexibility may be required to support scheduling needs or project deadlines.
Pay: $18.00 - $21.00 per hour
Expected hours: 40.0 per week
