What are the responsibilities and job description for the Executive Administrative Assistant position at Brooksource?
Executive Administrator
Location: Denver, CO -- On-site 4 days per week 1 day remote | Structure: W-2 Contract through Brooksource | Pay Rate: $35 – 38/hr
About the Opportunity
We are hiring for one of the largest broadband and media companies in the United States, and the Software and Data organization is at the center of its technology strategy. This Executive Administrator role places you directly in that environment -- supporting a team of VP who are building and running platforms that affect millions of customers. You will have real visibility, real responsibility, and real variety in your day.
This is not an entry-level administrative role or a support desk position. The executives you will work with are senior, experienced, and fast-moving. They need someone who can keep up, think ahead, and handle the operational complexity of a large tech organization without needing to be managed themselves. If you are someone who takes genuine pride in doing executive support work well, this is an environment where that matters and where it will be noticed.
Responsibilities
- Manage complex calendars for ~10 VP ’s and coordinating across time zones, organizations, and competing priorities.
- Schedule and coordinate internal and external meetings, including large-format Webex calls, team all-hands, and cross-functional syncs.

- Process and reconcile expense reports in Concur accurately and in a timely manner for multiple executives.
- Maintain and organize shared resources in SharePoint, including team calendars, distribution lists, and relevant documentation.
- Serve as a reliable point of contact and coordination hub across a distributed leadership team, ensuring nothing falls through the cracks.
- Exercise discretion and judgment when handling sensitive information, executive communications, and scheduling decisions.
- Anticipate executive needs proactively from flagging scheduling conflicts early to ensuring logistical details are confirmed before they become issues.
Qualifications
- 3 or more years of experience supporting VP-level or above executives in a corporate environment.
- Prior experience in a multi-executive support model; Managing calendars, travel, and communications for more than one senior leader simultaneously.
- Proficiency in Microsoft Outlook with a strong command of calendar management and scheduling logistics.
- Experience with Concur or a comparable expense reporting platform.
- Comfort with SharePoint for document management and team coordination.
- Familiarity with Webex or a comparable enterprise video and messaging platform.
- Highly organized with a systematic approach to managing competing priorities.
- Proactive and self-directed -- does not wait to be asked, anticipates needs, and communicates clearly when something needs attention.
Preferred Qualifications
- Background in technology, media, telecom, or another fast-paced enterprise environment.
- Experience supporting executives through organizational change or company integration periods.
- Associate's or Bachelor's degree (not required given equivalent experience).
Compensation
$35-38/hr - for experienced Executive Administrators with multi-executive support backgrounds.
Candidates with deeper tenure and direct experience supporting SVP-level or above may be considered above the standard range on a case-by-case basis.
What Success Looks Like
- Executives spend less time managing their own logistics and more time focused on their work.
- Calendar conflicts, travel issues, and expense delays are caught and resolved before they surface as problems.
- The team operates with a reliable, proactive point of contact who can be trusted without close supervision.
- Smooth, low-friction onboarding that translates quickly into independent contribution.
Team & Culture
- Work directly alongside a seasoned group of VPs in a Software and Data organization.
- A collaborative, professional environment where discretion, reliability, and good judgment are genuinely valued.
