We are seeking a detail-oriented and proactive Office Manager & Bookkeeper to support both general office operations and financial record-keeping in our growing environmental services business. This role is key to keeping the office running smoothly and helping maintain accurate, compliant bookkeeping that supports our daily operations.
Responsibilities
Office Operations
- Oversee daily administrative functions, including communications, scheduling, office supplies, and filing.
- Serve as a primary in-house contact for internal and external stakeholders (clients, vendors, regulatory partners).
- Support operations staff with documentation and reporting needed for compliance with environmental regulations.
- Maintain organized office systems that support smooth workflow and record retrieval.
Financial & Bookkeeping Duties
- Maintain accurate daily financial records using QuickBooks or similar accounting.
- Prepare and process accounts payable and receivable, billing, and vendor payments.
- Reconcile bank and credit card statements monthly.
- Assist with payroll processing and payroll records for employees.
- Generate basic financial reports (e.g., income/expense summaries) to support budgeting and management decisions.
- Help prepare financial documentation for audits and tax filings as needed.
Requirements
- 2 years of experience in office administration and bookkeeping using QuickBooks.
- Strong computer skills including Microsoft Office (Excel, Word, Outlook).
- Excellent organizational, multitasking, and communication skills.
- High attention to detail and a proactive problem-solving mindset.
- Be familiar and able to submit AIA billing.
Preferred:
- Experience in waste management, environmental services, public works, sustainability, or related fields.
- Familiarity with basic environmental regulations and industry documentation requirements.
- Associate's or Bachelor's degree in Accounting, Business Administration, Environmental Management, or similar.
