Job Summary
We are seeking a dynamic and friendly Front Desk professional to be the welcoming face of our organization. In this role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and staff. Your organizational skills and office management experience will ensure smooth daily operations, creating a positive first impression for everyone who walks through our doors. Responsibilities

  • Greet visitors, clients, and staff with enthusiasm and professionalism, ensuring a warm and welcoming atmosphere
  • Manage multi-line phone systems, directing calls efficiently and courteously while providing accurate information
  • Maintain appointment calendars, schedule meetings, and coordinate conference room bookings with precision
  • Handle data entry tasks using Microsoft Office and Google Workspace tools, ensuring accuracy and confidentiality
  • Perform clerical duties such as filing, proofreading documents, and managing correspondence to support office operations
  • Support office management by overseeing supply inventory, organizing files, and maintaining a tidy reception area
  • Provide exceptional customer support by addressing inquiries promptly and professionally via phone or in person

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with the ability to multitask efficiently in a busy environment
  • Effective phone etiquette and experience managing multi-line phone systems with professionalism
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Previous office or administrative experience, including clerical tasks like data entry, filing, and proofreading
  • Knowledge of QuickBooks or bookkeeping experience is a plus for handling basic financial records
  • Strong time management skills to prioritize tasks and meet deadlines consistently
