About the Position
We are seeking a reliable and proactive Administrative Assistant to join our team on a part-time basis. The Administrative Assistant will play a crucial role in supporting the Team Lead, Specialists, and the Leadership Team with various administrative tasks and special projects. This position requires exceptional organizational skills, attention to detail, and the ability to effectively manage priorities in a fast-paced environment.
Job Duties & Responsibilities (including but not limited to)
- Team Lead Assistance (60%)
- Oversee calendar & email management, prioritizing action items, organizing, and guarding the Team Lead’s time.
- Provide administrative support and proactively provide solutions to problems.
- Prepare materials, resources, presentations, and documents, as needed.
- Leadership Team Assistance (15%)
- Assist in projects as needed for the Leadership Team.
- Prepare materials, correspondence, and agendas for meetings, including weekly Success Meetings. Capture key takeaways and next steps.
- Meeting and Event Facilitation (15%)
- Assist the Office Manager in preparing for meeting/event logistics and facilitation.
- Listing Management (10%)
- Enter new listings into the MLS for the Broker and Specialists.
- Ensure the correct documentation is prepared and uploaded.
Skills & Experience Desired
- Previous administrative experience (1 year required), preferably in real estate or interest in real estate.
- Strong organizational skills with a keen eye for detail and accuracy.
- Exceptional communication and interpersonal skills.
- Ability to manage multiple tasks, prioritize workload, and meet strict deadlines.
- Proficiency in Google Workspace (Docs, Sheets, Drive, Gmail, Calendar).
- A real estate license later is a bonus.
- Positive, solutions-focused mindset with a passion for efficiency and service.
- Strong marketing background and proficient in social media platforms.
Job Type: Part-time
Pay: From $16.00 per hour
Expected hours: 20 – 25 per week
