Position Overview
We are seeking an experienced, highly organized and discreet consultant to manage ongoing bookkeeping and provide contract-administration support for a business owner and related entities.
The ideal candidate has strong bookkeeping and financial-management experience, along with the ability to read contracts carefully, summarize key business terms, track obligations and deadlines, and identify matters that should be escalated to an attorney or CPA.
This is a hands-on role for someone who is comfortable working independently, bringing order to financial and contractual records, and following issues through to completion. The consultant will coordinate with existing accountants, attorneys and other professional advisers as needed.
Bookkeepingand Financial Administration
· Maintain accurate and current bookkeeping records in QuickBooks
· Reconcile bank, credit-card and other financial accounts
· Review and properly categorize transactions
· Track payments, reimbursements, loans and transfers between accounts or entities
· Maintain supporting documentation for financial transactions
· Prepare clear monthly financial reports and summaries
· Identify unusual transactions, missing information or discrepancies requiring attention
· Coordinate with outside accountants and CPAs on tax filings, reporting and year-end requirements
· Organize historical financial records and help establish reliable ongoing procedures
· Maintain strict confidentiality regarding all personal and business financial information
Contract Administration
· Review agreements and prepare concise summaries of their primary business terms
· Identify and track payment obligations, deliverables, renewal dates, notice periods and termination provisions
· Review insurance, indemnification and other operational requirements and flag them for appropriate professional review
· Maintain an organized contract database and calendar of important deadlines
· Compare invoices, payments and ongoing obligations against applicable agreements
· Identify inconsistencies, missing documentation or terms requiring clarification
· Coordinate questions and follow-up with attorneys, accountants, vendors and other advisers
· Ensure matters requiring legal interpretation or advice are promptly escalated to licensed counsel
Qualifications
· At least five years of relevant bookkeeping, accounting or financial-administration experience
· Strong working knowledge of QuickBooks Online
· Demonstrated experience reviewing or administering contracts
· Ability to understand and summarize complex business documents in plain language
· Excellent attention to detail and follow-through
· Strong organizational and record-management skills
· Sound judgment regarding when to resolve an issue independently and when to involve an attorney, CPA or other specialist
· High level of discretion and professionalism
· Ability to communicate clearly with business owners and external professional advisers
· Experience managing financial information across multiple accounts or entities is preferred
Preferred Background
Experience in one or more of the following environments would be particularly valuable:
· Real estate development or construction
· Family office or high-net-worth personal financial administration
· Professional services or law firms
· Property or asset management
· Small-business accounting
· Contract management or paralegal support
A bookkeeping or accounting certification is helpful but not required. Candidates with combined accounting and paralegal or contract-administration experience are strongly encouraged to apply.
Engagement Structure
This is initially expected to be a part-time, consulting engagement, with the schedule and hours determined based on experience and workload. Some in-person availability in Miami may be required, although portions of the work may be completed remotely.
The consultant will not be expected to provide legal or tax advice. The role is responsible for organizing information, administering agreements, identifying issues and coordinating with Barry’s licensed attorneys and tax professionals when specialized advice is required.
