Position Summary
The Front Desk Receptionist is the first point of contact for visitors, clients, and employees. This role is responsible for managing the reception area, answering and directing calls, greeting guests, and providing general administrative support to ensure smooth day-to-day office operations. This position is part of a shared services team supporting a group of companies under the same corporate umbrella. The ideal candidate is friendly, professional, organized, and able to multitask in a fast-paced environment.
Key Responsibilities
· Greet and welcome visitors, clients, and vendors in a courteous and professional manner.
· Answer, screen, and route incoming phone calls promptly.
· Manage the reception area to ensure it is tidy, organized, and presentable.
· Handle incoming and outgoing mail, packages, and deliveries.
· Schedule and coordinate meeting rooms, conference calls, and appointments.
· Provide administrative support, including data entry, filing, copying, and scanning.
· Assist with office supply inventory and order replenishments as needed.
· Support other departments with clerical tasks as requested.
· Uphold confidentiality and handle sensitive information with discretion.
Qualifications
Education
· High school diploma or equivalent required; Associate’s degree preferred.
Experience
· 1–2 years of receptionist, front desk, or customer service experience preferred.
· Experience in a construction office environment is a plus.
Skills
· Excellent verbal and written communication skills.
· Strong organizational and multitasking abilities.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
· Professional demeanor with a customer-focused attitude.
· Ability to handle stressful situations with poise and diplomacy.
