The British International School of Chicago, South Loop (BISC-SL) is seeking a Receptionist to join its dynamic staff. BISC-SL is a highly successful fast growing school in Chicago and has established a reputation for excellence in the Chicago market. The contemporary, learning-driven school is located in the South Loop area of Chicago, serving both American and international families.

Job Purpose

The Receptionist is the first point of contact for the school, delivering a professional, welcoming, and customer-focused experience for parents, students, staff, and visitors. The role provides essential administrative and front-office support, managing communications, enquiries, payments, and visitor access while ensuring the efficient day-to-day operation of the reception area. Through excellent communication and organizational skills, the Receptionist helps maintain positive relationships across the school community.

Key Responsibilities

General

  • Contribute positively to the daily life and culture of the school, supporting its values, mission, and commitment to excellence.
  • Promote the safety, wellbeing, and welfare of all students, visitors, and staff at all times.
  • Act as a positive ambassador for the school, demonstrating professionalism, discretion, and excellent customer service.
  • Work collaboratively with colleagues across departments to ensure the smooth and efficient operation of the school.

Customer Service & Front Office Management

  • Serve as the first point of contact for parents, students, staff, visitors, and external stakeholders, providing a warm, professional, and welcoming experience.
  • Manage visitor sign-in procedures and direct visitors efficiently to the appropriate person or location.
  • Respond to enquiries in person, by telephone, and via email in a courteous, timely, and professional manner.
  • Support parents and guardians with school-related requests, providing accurate information and assistance where appropriate.
  • Handle incoming telephone calls, transferring calls, taking messages, and ensuring queries are resolved or directed appropriately.
  • Build and maintain positive relationships with members of the school community through excellent communication and customer service.

Administrative & Office Operations

  • Maintain school security procedures by monitoring visitor access and adhering to safeguarding and sign-in protocols.
  • Record, distribute, and follow up on messages and communications as required.
  • Maintain accurate student attendance records and support attendance-related processes.
  • Provide general administrative support, including filing, scanning, photocopying, document preparation, and data entry.
  • Coordinate incoming and outgoing mail, courier services, and deliveries.
  • Assist with the ordering, receipt, storage, and distribution of office supplies and resources.
  • Produce, print, and issue student and staff identification cards as required.
  • Support the organisation of meetings, including booking spaces, preparing documents, and taking minutes when necessary.
  • Ensure reception and common areas are organised, professional, and present a positive image of the school.
  • Maintain accurate records and ensure confidentiality when handling sensitive information.
  • Support school events, admissions activities, and other administrative projects as required.

Financial & Record Keeping Support

  • Process payments and maintain accurate records in accordance with school procedures.
  • Assist with the collection and recording of fees and other school-related transactions where required.
  • Ensure all documentation and records are maintained accurately and in compliance with school policies.

Other Duties

  • Undertake additional administrative and reception duties as reasonably requested by the line manager or school leadership team.
  • Support operational requirements during busy periods, events, enrolment activities, and emergency situations.

Required Education

  • Associate's degree or equivalent preferred
