Role Overview
An established organization is seeking a Customer Support & Order Coordinator to manage order processing and day-to-day client communication. This role works closely with internal departments and external customers to ensure accurate information flow, timely order fulfillment, and a high standard of service delivery in a fast-moving operational environment.
Key Responsibilities
- Respond to incoming customer inquiries by phone and email regarding order status, product details, delivery timelines, and general requests
- Enter and validate purchase orders and related data within internal systems
- Review orders for completeness and accuracy prior to release
- Participate in routine cross-department meetings to stay aligned on production, purchasing, and shipping updates
- Liaise with internal sales representatives regarding client requirements and timelines
- Assist in-person customers with order placement and payment processing when applicable
- Monitor daily order reports, coordinate shipment readiness, and communicate pickup or delivery arrangements
- Generate invoices for completed shipments
- Initiate and manage customer concern or complaint processes, providing timely follow-up
- Support quoting activities and administrative tasks for the sales function as needed
- Perform additional duties aligned with the role as assigned
Qualifications & Experience
- Minimum 2 years of experience in a customer service or order processing role
- Prior exposure to a production, warehouse, or distribution environment considered an asset
- Proficiency with Microsoft Office applications
- Experience using ERP or order management software
- Strong attention to detail and data accuracy
- Effective organizational and time-management skills
- Clear written and verbal communication abilities
- Ability to collaborate within a team in a fast-paced setting
- Post-secondary education or equivalent experience preferred
- Fluency in English required; additional language skills considered an asset
